Position Summary:
The main function of an executive assistant is to provide high-level administrative support through research, handling information requests, and performing clerical duties. This role acts as an information and communication manager within an office environment.
Job Responsibilities:
- Supervise office duties such as ordering supplies, maintaining record management systems, and performing basic bookkeeping tasks.
- Review and approve invoices, reports, memos, letters, financial statements, and other documents.
- Analyze incoming memos, submissions, and reports to determine their significance and plan distribution.
- Prepare agendas and make arrangements for committee, board, and other meetings.
- Coordinate travel arrangements and planning for meetings.
Skills Required:
- Strong verbal and written communication abilities.
- Effective multi-tasking, customer service, and interpersonal skills.
- Ability to work independently and manage time efficiently.
- Proficiency in organizing and maintaining confidentiality of information.
- Event planning skills.
- Leadership and mentoring capabilities for providing support and constructive performance feedback.
- Experience with computer applications such as Microsoft Word, Excel, and PowerPoint.
Experience Required:
- 8-10 years of relevant experience.
- Experience working with executives.
Education Required: High school diploma or GED.
Additional Information:
- The Corporate Strategy team leads the company's strategic planning, heart failure portfolio, and strategy, and manages big data analytics.
- Proficiency with specific technology/software such as COUPA/contracting is ideal.
- Prior experience as an executive assistant, particularly with contracting experience, is desirable.
- The ideal candidate should possess a positive attitude, teamwork skills, and the ability to manage multiple workstreams and functions effectively. They should be adept at handling rapidly changing calendars and projects.
- Work schedule is 8:30 AM 5 PM, 4 days onsite per week, with potential overtime during the Global Strategy Summit at the end of March.
- There might be travel involved, potentially to Oceanside for 2 days for the Global Strategy Summit.
- Essential technical skills include managing calendars, executing travel planning and expenses, and contracting.
- Nice-to-have skills include planning large offsite meetings and budgeting.
