DESCRIPTION
Under the direction of the Executive Director of Information Technology, the Executive Assistant II supports the Department of Information Technology (IT). The Executive Assistant II performs a variety of confidential and complex administrative, secretarial, and clerical functions to maintain operations throughout the department. This position is responsible for exercising confidentiality, independent judgment, and action in accordance with delegated responsibilities and works collaboratively with supervisors in the IT department.
MINIMUM QUALIFICATIONS
A combination of education and experience may be considered.
Education:
High School Diploma or GED equivalent.
Experience:
Five (5) years of clerical /secretarial experience with increasing responsibilities, that includes clerical, secretarial, and/or administrative support in an office setting.
One (1) year of experience working with budgets, performing account reconciliation, and creating financial reports.
One (1) year of experience utilizing spreadsheets to organize, manipulate, and analyze data.
One (1) year of work experience utilizing web-based productivity and collaboration applications such as Microsoft Office (e.g., Outlook, Excel, Word, Access, PowerPoint, Teams), Google Workspace (e.g., Drive, Docs, Sheets, Slides, Meet) or Adobe Suites.
Advanced degrees may supplement the experience requirement for this position.
PREFERRED QUALIFICATIONS
Administrative support experience in a PreK-12 school system.
One (1) year of project management work experience.

Prepares and edits correspondence, entailing a wide knowledge of the department s programs, procedures, functions, and policies.
Organizes, coordinates, and performs administrative level secretarial functions, including those of a confidential nature.
Interprets administrative decisions and policies within the assigned scope of duties and responsibilities.
Organizes and maintains files to support office functions.
Schedules meetings and maintains the calendar for the Executive Director.
Prepares agendas for meetings and sends notices of meetings, assists with taking meeting minutes, as necessary.
Maintains financial records related to the department.
Prepares and processes payments, purchase orders, direct payments, and other financial requests for the department.
Reconciles invoices and tracks spending.
Orders, distributes, and keeps an inventory of supplies and other technology items.

EMPLOYMENT INFORMATION
Compensation
This is a 12-month per year position in the Howard County Education Association, Educational Support Professionals (HCEA-ESP) employee unit. The for this position is Grade 22 on the Technical Central Office and School Based salary scale, $52,635 - $100,846. Step placement will be in accordance with the salary procedures of the Howard County Public School System and the HCEA-ESP Master Agreement which considers relevant prior experience. Under the Fair Labor Standards Act, this position is exempt from overtime.
Telework Program
Under the HCPSS Telework Program, this position is eligible for a hybrid telework schedule. Telework schedules will be determined by the department and/or supervisor.Telework during the probationary period will be subject to approval and based on the needs of the department and the school system.
Retirement
Membership in the Maryland State Retirement Agency (MSRA) pension plan is a mandatory condition of employment for all employees who meet the eligibility and membership criteria defined in the State Personnel and Pensions Article and the Code of Maryland Regulations (COMAR). A qualifying employee cannot reject membership, nor can an ineligible employee elect membership. The annual contribution to the pension plan will be 7% of an employee s annual salary.
