Job Description

This position will provide standard clerical and administrative support essential to the operation, planning, and coordination requisite to implementation of featured academic enrichment programs offered by the Brailsford College of Arts and Sciences to include, but not be limited to, the Toni Morrison Writing Program (TMWP), Ruth J. Simmons Center for Race and Justice (Simmons Center), Annual Essay and Oratory Contest, and other programs and events within the parameters of the Office of the Dean of the Brailsford College of Arts and Sciences.

This position may pay more than the salary listed above depending on the qualifications and experience of the selected candidate.

Responsibilities

  • Provide clerical and administrative assistance primarily to the directors of the TMWP and the Simmons Center by supporting student employees, faculty and staff engaged in work related to the TMWP, the Simmons Center and other programs emanating from and identified by the Office of the Dean of the Brailsford College of Arts and Sciences.
  • Assist directors with primary tasks of organizing meetings; maintaining calendars; preparing contracts; coordinating with appropriate internal and external offices to arrange for communications, event preparation, media coverage, guest travel and associated logistics, ordering of supplies, securing campus and non-campus-based event spaces, arranging for catering services.
  • Collaborate with the budget coordinator in the Office of the Brailsford College of Arts and Sciences and, as appropriate, the Office of the Provost and Senior Vice President for Academic Affairs to prepare and submit purchase requisitions in an accurate and timely manner.
  • Assist faculty with general questions, travel arrangements, purchases, and reimbursements.
  • Performs clerical and administrative duties related to the planning, operation, coordination and implementation of academic enrichment programs in the Brailsford College of Arts and Sciences.
  • Manage on-campus visits of guests invited by these units.
  • Maintain personnel, student, and general documents and submit records to annually transmit selected files to University Archives.
  • Monitor office phones and email accounts.
  • Respond to inquiries about programs and, as appropriate, offer opportunities to participate in programs.
  • Perform other duties as assigned.

Required Education & Experience

  • Bachelor's degree or equivalent combination of education and experience.
  • Two years of related experience

Required Knowledge, Skills & Abilities

  • Knowledge of word processing and spreadsheet applications.
  • Verbal and written communication skills.
  • Ability to multitask and work cooperatively with others.

Preferred Qualifications

  • Knowledge of software used by University to coordinate travel, payments and other activities.
  • Practice effective interpersonal and communication skills, planning and organization skills, and coordination of logistics between and among multiple campus units.

Special Requirements

  • Applicants with equivalent experience in lieu of a Bachelor's degree may be considered. One year of the related experience is the equivalent of one college year. Applicants being considered for the equivalency must have four years of related experience to meet the equivalency in lieu of a Bachelor's degree plus the minimum required years of experience. Applicants being considered for the equivalency must have a total of four years of experience.

Other Requirements

  • Must be able to lift light objects up to 10lbs office supplies and equipment as needed.
