What We Offer
We are seeking an Office Clerk with experience in customer service and general office administration. You will work as part of our close-knit administrative team and will be responsible for front-office tasks including basic accounting tasks, and assisting in coordinating local fleet and rental accounts. You will also support the redemption process for repo units, including liaison with the national accounts team and local customers to support the vehicle and personal property redemption process. - Customer-Centric: Display empathy and understanding when dealing with clients facing vehicle repossession, guiding them through the redemption process with compassion and patience.
- Collaborative Team Player: Foster relationships with various internal departments, collaborating closely with sales, administration, and accounting teams to enhance and expand the account portfolio.
- Detail-Oriented Organizer: Ensure seamless management of multiple accounts, consistently meeting customer service level agreements (SLAs) and optimizing communication channels.
- Adaptive Communicator: Tailor communication styles adeptly to accommodate diverse clientele, facilitating smooth interactions and conflict resolution as necessary.
- Problem Solver: Identify issues promptly, proactively resolving concerns to maintain high client satisfaction levels and uphold company standards.
- Manage local commercial and fleet vehicle inventory, overseeing data entry, leasing processes, internet showcasing, sales agreements, and vehicle lineup determination.
- Inspect and validate sales vehicles' compliance with specifications, authorizing and arranging necessary repairs while organizing work order forms efficiently.
- Execute negotiations for pending bids in alignment with customer service level agreements (SLAs), ensuring favorable outcomes.
- Assist in logistics coordination for transportation needs, handling billing and related administrative tasks.
- Generate comprehensive reports by extracting data from computerized systems, including inventory reports and sales summaries.
- Perform account receivable functions, including following up with customers or vendors for payment;
- Enter and record routine financial transactions, preparing routine billing statements, receipts, and invoices; processing journal entries, internal charges, daily deposits & bank reconciliation;
- Process authorized AR credits, policy adjustments, & arbitration adjustments;
- Prepare weekly reports, ensure payments and/or collection of accounts are up to date
- 1-2 Years of related experience or education in account coordination
- Tech-savvy, and comfortable using Google Suite
- Strong customer service and communication skills
- Excellent organizational and time management skills
- Prior experience in account management/business development
- Prior experience within the automotive remarketing industry
- Experience with AMS, VTrace, and other OPENLANE systems
- Bilingual (English/French)
