What We Are Looking For

The DanceOne team is seeking a detail-oriented and motivated Assistant Event Planner to support the Event Planning Department in delivering seamless and inspiring dance experiences for our customers. This role combines logistical coordination, client interaction, and administrative support. The ideal candidate thrives in a fast-paced environment and demonstrates operational expertise, professionalism, and adaptability.

In This Role, You Will

As an Assistant Event Planner, you will collaborate with internal teams and external vendors to ensure events run smoothly. Your responsibilities will include but are not limited to:

  • Track hotel block pickup reports weekly and assist in securing overflow hotel rooms as needed.
  • Review and summarize post-show notes to improve future events.
  • Compile vendor contact lists, ensuring they are accurate and up-to-date, with highlights on suitability for specific cities.
  • Maintain and organize Google Drive files for the current and upcoming seasons.
  • Collect missing rebates and hotel points, ensuring timely reconciliation.
  • Assist with venue research, including contract reviews and logistical planning.
  • Prepare for new event seasons by creating booking links, testing room blocks, and developing checklists.
  • Liaise between DanceOne staff/crew and venue contacts during onsite events to ensure smooth operations and address emergent issues.
  • Support budgeting and auditing by reviewing contracts, processing invoices, and tracking payments.

What You Need

  • Bachelor's degree in Event Management, Marketing, or a related field (preferred, but not required).
  • Minimum of 1-2 years of experience in event planning, staff coordination, or related roles.
  • Prior experience in entertainment, music, live theatre, or live production industry is highly preferred.
  • Knowledge of the dance convention business is a huge plus!
  • Professionalism in communication, including speaking, writing, and appearance, with the ability to maintain confidentiality.
  • Ability to work independently and handle multiple tasks in a fast-paced environment.
  • Experience working with children or in child-focused environments is strongly preferred.
  • Strong organizational skills with the ability to manage multiple tasks in a fast-paced environment.
  • Availability to travel and work weekends as required.

Typical Work Schedule And Travel

  • Remote, Monday–Friday, 8:00 AM–5:00 PM.
  • Occasional weekend work during events or peak periods.
  • Frequent travel (10%), Thursdays–Sundays, for onsite event support.
  • Availability required October–May and mid-June–July.

Physical, Community & Environment

  • Physical requirements include computer screen time, sitting, standing, walking, bending, pushing/pulling, and lifting up to 30 lbs. unassisted.
  • Contemporary work environment with indoor work, sharing work areas with others.
  • Positive and energetic attitude thriving in a fast-paced and sometimes ambiguous environment.
  • Ability to be social with internal and external business associates, providing high-level customer service.
  • Exposure to loud music and dark work areas with professional lighting during events.
