Job Description

The Veterinary Logistics Coordinator oversees the logistical, operational, and promotional aspects of Self-Generated (SG) and Clinical Proficiency Examinations (CPE) within the Animal Health Department. This role ensures the successful execution of events and programs by managing logistics, coordinating resources, maintaining compliance, and fostering collaboration among internal teams and external stakeholders.

Essential Job Duties And Responsibilities

  • Specialty Groups (SG) Event Coordination – Collaborate with committees to develop program content, manage speaker logistics, and ensure all event details (A/V, materials, staffing) are documented and executed effectively.
  • Speaker & Instructor Management – Communicate with speakers regarding commitments, travel, A/V needs, handouts, bios, and other event requirements while booking instructors and coordinating room setup.
  • Clinical Proficiency Examination (CPE) Coordination – Develop and maintain the CPE course schedule, schedule examiners and proctors, manage candidate lists, and assist with grading and administrative tasks.
  • Animal Logistics & Compliance – Oversee large animal procurement for CPE and SG events, ensuring compliance with USDA regulations, vendor coordination, and proper transportation and inspection logistics.
  • Operational & Logistical Support – Maintain event timelines, budgets, and records, ensuring seamless execution of SG events while coordinating with marketing and IT to update course details and promotional content.

Education, Experience Skills & Abilities

  • Minimum of 2 years of experience in event coordination, logistics, or program management, preferably in veterinary or animal health settings
  • Familiarity with scheduling software, event management tools, or operational platforms such as Aptify and ME
  • Previous experience coordinating live animal or cadaver logistics is highly desirable

Physical Requirements

  • Ability to sit, use hands and fingers, talk, hear, and smell continually.
  • Ability to stand, walk and reach frequently
  • Ability to climb or balance, stoop, kneel or crouch occasionally
  • Ability to lift and carry up to 10 lbs., and occasionally lift and carry up to 50 lbs.
  • Close vision required to see computer monitor, read documents, and operate copy and fax machine
