Responsibilities:

  • Executive Support:
    • Manage complex schedules, coordinate meetings, and arrange travel.
    • Handle communications and prioritize inquiries, ensuring timely and professional responses.
    • Maintain confidentiality and exercise discretion in all interactions.
    • Prepare reports, presentations, and correspondence.
    • Act as a key point of contact for internal and external stakeholders.
  • Office & Facilities Management:
    • Oversee office supplies, inventory, and vendor relationships.
    • Maintain a clean, organized, and efficient office environment, including common areas and meeting spaces.
    • Manage office logistics, including security access, new hire setups, and office moves.
    • Coordinate support for visiting executives and guests.
    • Support company events.
  • General Administrative Support:
    • Provide reception coverage and greet visitors.
    • Manage documents, files, and databases.
    • Support internal communication initiatives.
    • Assist with special projects and provide backup support to administrative teams.

Qualifications:

  • Minimum of 5 years of experience in administrative support, preferably in a fast-paced environment.
  • Proven ability to support and communicate effectively with senior leadership.
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Exceptional organizational, communication, and interpersonal skills.
  • Ability to multitask, prioritize, and meet deadlines.
  • Experience managing office supplies and coordinating vendor relationships.
  • Ability to handle confidential information with discretion.
  • Proactive problem solving ability.
