Position Description

The Program Support Coordinator plays a critical role in ensuring the smooth operation of Beyond the Bars’ programming by providing essential administrative and logistical support. This position focuses on coordinating the Student Teacher Program, managing onboarding paperwork, overseeing clearances for staff and student teachers, tracking attendance and hours, and ensuring transportation and scheduling support for student teachers. The ideal candidate is highly organized, detail-oriented, and committed to supporting youth and program staff in meaningful ways. The position will be hybrid and will include working at our main office CEC or partner sites but will also have time when you can work remotely based on program schedule.

Responsibilities

Program & Administrative Support:

  • Provide support for programming by working at CEC during program hours and ability to talk with students or staff to provide assistance when needed.
  • Serve as an administrative point of contact for student teachers, staff, and partners regarding scheduling, attendance, and program logistics for the student teacher/leader program
  • Maintain accurate records of student teacher/leader hours and attendance, ensuring proper documentation of participation.
  • Manage onboarding paperwork for student teachers, ensuring all required documents are completed and submitted in a timely manner.
  • Compile and organize new hire paperwork for teachers and student teachers, ensuring compliance with organizational requirements.
  • Assist with compiling receipts and logging checks that are received by Beyond the Bars

Clearances & Compliance

  • Oversee and manage required clearances for staff and student teachers, ensuring all personnel have up-to-date background checks and clearances.
  • Maintain organized records of clearances and communicate with staff regarding any necessary updates or renewals.

Scheduling & Transportation Coordination

  • Coordinate student teacher schedules, ensuring coverage and alignment with program needs.
  • Load up SEPTA passes for student teachers during the summer to ensure reliable transportation to and from program sites.
  • Serve as Lyft support for students who need assistance getting to and from programs, ensuring timely and safe transportation.

Qualifications

  • Strong organizational and administrative skills, with experience managing paperwork, scheduling, and program logistics.
  • Ability to track and manage student attendance, hours, and required documents efficiently.
  • Experience working with youth and an understanding of the importance of accessibility and program support.
  • Comfortable working in a fast-paced, dynamic environment with multiple responsibilities.
  • Strong communication skills and ability to coordinate with students, staff, and partners effectively.
  • Experience handling confidential information with professionalism and discretion.
  • Proficiency with Google Suite (Docs, Sheets, Drive) and other relevant administrative tools.

Clearances

All Beyond the Bars staff must obtain and maintain the following clearances:

  • PA Child Abuse Clearance
  • PA State Background Check
  • FBI Waiver or FBI Clearance
  • Mandatory Reporter Training
