JOB DESCRIPTION:

Job Summary:

The Gift Processing Specialist will support the Gift Processing team by observing and documenting procedures, policies, and workflows for inclusion in the department handbook. This role will also contribute to special gift processing projects, ensuring data integrity, compliance, and efficiency in donor record management.

Key Responsibilities:

Documentation & Process Development:

  • Shadow gift processors to understand their workflows and best practices.
  • Document step-by-step procedures for gift processing tasks, policies, and guidelines.
  • Attend department meetings, take comprehensive notes, and translate discussions into actionable procedures.
  • Collaborate with team members to standardize and refine existing documentation.
  • Maintain an up-to-date and well-organized gift processing handbook.

Gift Processing Projects & Data Management:

  • Assist in converting gifts to payments in accordance with university policies.
  • Update tribute information, ensuring accuracy in donor records.
  • Perform corrections on historical gift records as needed.
  • Conduct cleanup and standardization of designation records to improve database integrity.
  • Work on other data management projects as assigned.

Qualifications:

Required:

  • Experience in documentation, technical writing, or administrative support.
  • Strong organizational skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to take clear, structured notes and translate them into formal documentation.
  • Experience with Salesforce (Kindsight ascend) CRM is required.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work independently and collaborate effectively with team members.

Preferred:

  • Prior experience in higher education, nonprofit, or fundraising environments.
  • Knowledge of gift processing, fundraising, or financial reconciliation.
