Key Responsibilities and Accountabilities:
Executive Support
- Provides high-level administrative and project management support to the N. Americas CEO. Builds relationships with the executive team to act as an effective liaison on behalf of the N. Americas CEO
- Liaise with both internal and external (clients, vendors, media outlets, etc.) audiences on behalf of N. Americas CEO to foster positive working relationships.
- Strategically manages the calendar and balances competing responsibilities; Arranges and coordinates meetings, teleconferences, video conferences and other events across various time zones
- Plans travel itineraries and makes reservations; maintains an accurate calendar and manages schedule for the N. Americas CEO to best utilize time.
- Ensure schedule is adhered to and respected but also have ability to quickly adapt to last minute changes in plans, schedules and itineraries; provide a bridge for smooth communication when changes occur
- Confidentially handles sensitive information, understands and makes decisions based on priorities
- Coordinates, participates and provides support with internal and external meetings. Plays a large role in governance and coordinates on behalf of the N. Americas CEO. Develops and edits well-researched and strategic reports as needed; captures important information and tracks deliverables
- Business and Functional Acumen: ability to learn the business and work strategically through an integrated operating model
- Collaborates with IT for quick resolution of any technical difficulties.
- Advanced user of Microsoft Office Suite (Outlook, Excel, PowerPoint, Word and Teams); able to operate various office equipment; savvy using online search engines and other sources for research purposes
- Participates in company-wide strategic initiatives
- Manages complex travel plans, expenditures, special events and ad hoc projects
- Manage and track N. Americas CEO’s budget including invoicing, expenses; approve expenses on behalf of N. Americas CEO when appropriate but and understanding when expenses need to be approved or reviewed by N. Americas CEO prior to processing
- Acts as the N. Americas CEO’s administrative liaison to N. Americas executives and senior leaders across the network.
- Serves as the secretary of key internal meetings such as DAN Executive meetings; compiles and distributes meeting materials; issues confirmations and reminders; takes and transcribes minutes; assists with planning meeting agendas, preparations for off-site retreats and other special events
- Works with Company Secretary to coordinate full board and board-level committee meetings; sets annual calendar, and compiles CEO updates/reports.
- Maintains and assembles current and relevant materials
- Maintains all corporate documents (by-laws, Articles of Incorporation), board files and confidential member information
- Ability to present information and reports in a succinct and well-written manner
- Provide exceptional project management for cross-functional teams
- Build and maintain relationships with stakeholders who have accountability for program or initiative execution
- Ensure effective and consistent communication at all levels that give clear sight of progress of the project
- Proactively manage changes in project scope, identifies and manages project risks and escalate as needed for resolution
- Proven ability to maintain the highest degree of confidentiality and discretion
- Excellent verbal and written communications skills. (Proficiency/working knowledge of Japanese a plus.)
- Superior interpersonal and relationship-building skills with the ability to communicate effectively across cultures
- Demonstrated ability to manage difficult or sensitive situations with good judgment and discretion
- Proactive, courteous and professional demeanor. Must always be able to maintain a calm and professional attitude
- Advanced level proficiency in Microsoft Office, including Word, Excel, PowerPoint, Teams and Outlook, with the ability to learn other software applications quickly
- Experience in or willingness to learn Concur Travel and Expense system
- Experience in internet research and database management
- Adept at proofreading own and others’ work to eliminate errors
- Ability to solve complex problems, think innovatively, creatively and strategically
- Anticipate risks and issues, escalate when needed
- Must be flexible, extremely well-organized and detail minded. Adept at follow-through, especially in the management of detail and multiple priorities
- Bachelor’s degree preferred and five years’ overall professional experience in relevant role and/or account management / agency experience
- Experience working for an international facing organization needed
- Ability to accomplish results through influence and negotiation
- Ability to work in an Executive Support team environment
