- This position is onsite in San Francisco, CA, with opportunities to support leadership at the organizational level
- Provide administrative and operational support to the Executive Director and leadership team
- Coordinate company-wide calendars, including board-related scheduling, key leadership deadlines, and compliance tracking
- Set up and maintain contact lists and create clear instructions on managing office systems, such as the phone system
- Assist in meeting preparation, including scheduling, drafting agendas, and taking minutes
- Develop and manage spreadsheets for compliance tracking for all employees across multiple locations
- Conduct interviews with leadership to identify key deadlines and help consolidate these into a central system
- Create and manage processes that improve office organization and communication flow
- Proactively anticipate needs and complete administrative tasks to reduce the Executive Directors workload
- Draft professional correspondence and maintain a high level of confidentiality and professionalism
- Troubleshoot and support technical issues as needed
- Assist with special projects and ad hoc administrative duties
- Proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, etc.) and other office tools
- Extensive experience in executive-level administrative roles, preferably within nonprofit organizations
- Strong organizational skills, attention to detail, and ability to create and implement new processes
- Proactive communication skills with a proven ability to follow through on tasks and deadlines
- Demonstrated ability to handle sensitive information with discretion and professionalism
- Experience with calendar management, compliance tracking, and process improvement
- Knowledge of technical tools such as Zoom, Teams and familiarity with managing phone systems is a plus
- Advanced problem-solving skills, flexibility, and the ability to thrive in a dynamic environment
- Proactive Communication: Ability to provide timely updates and maintain clear, consistent communication
- Organization and Execution: Strong attention to detail, ability to manage competing priorities, and a knack for implementing systems that ensure nothing falls through the cracks
- Professionalism: Skilled in crafting polished emails and correspondence that reflect the organizations mission and tone
- Adaptability and Leadership Support: A proven track record of supporting leadership effectively by anticipating needs and creating structure in a high-pressure environment
