Overview & Responsibilities
Reporting to the Office Manager, the Administrative Assistant plays a vital role in ensuring the smooth operation of this high-volume hepatobiliary surgical office, which serves 5-8 providers. This position requires strong organizational skills, professionalism, and the ability to remain composed in a fast-paced environment.
Key responsibilities include:
• Welcoming patients with friendly and professional demeanor.
• Scheduling and following up on patient appointments.
• Assisting patients with inquiries via phone and directing calls appropriately.
• Checking patients in and out efficiently.
• Managing medical records requests and updating patient charts.
• Verifying insurance information and processing authorizations.
• Ordering office supplies and maintaining an organized workspace.
This is a front-desk role with significant patient interaction. Candidates should be engaged, dependable, and open to a full-time conversion opportunity.
Required Skills & Experience
• 2+ years of administrative/clerical experience in a medical office environment.
• Experience supporting multi-provider office.
• Prior experience working within EPIC software.
• Excellent written and verbal communication skills.
• Strong customer service skills when interacting with patients and providers over the phone and face-to-face.
