Job description

IFMK Law is seeking a full-time Administrative Assistant, familiar with Litigation, to support our Legal team in our Northbrook, IL office. The candidate will provide specialized administrative support to assigned attorneys/legal personnel pertaining to all aspects of civil litigation. The position involves multi-tasking complex document production with heavy administrative functions requiring a high degree of executive secretarial, proofreading, and technical skills. Must be assertive and confident with a proactive work style attuned to managing multiple schedules and preparing and maintaining files. Computer proficiency with experience in Outlook, Word, and Adobe Reader is necessary. Familiarity with electronic court filing procedures in federal and state court is a plus.

Job Responsibilities:

  • Compile, proofread and revise drafts of legal documents and reports
  • Prepare Legal Documents and Assist in scheduling depositions
  • Organize Case materials
  • Prepare Trial Binders
  • Email/mail courtesy copies to Judges and opposing counsel
  • Daily record keeping with electronic filling of documents.
  • Create and organize information; generate reference tools for easy use by the team
  • Draft, review, and send communications on behalf of attorney(s)
  • Answer and respond to phone calls, communicate messages
  • Prioritize emails and respond when necessary
  • Maintain various records and documents
  • Learn and adapt quickly to changing client requirements and guidelines
  • Work independently and proactively to assists multiple attorneys daily
  • Ensure efficient and effective administrative information and assistance
  • Other duties as assigned

Education, Skills and Experience:

Ability to grasp and interpret legal documents

Excellent computer skills, including the Microsoft Office Suite

Exceptional writing, editing, and proofreading skills

Excellent verbal communication skills

Time-management skills

Attention to detail

Organization skills

Ability to multitask

Interpersonal skills

Expected hours: 37.5 per week
