We are seeking a detail-oriented and organized Bookkeeper to join our team. The ideal candidate will be responsible for maintaining accurate financial records, managing accounts, and ensuring compliance with relevant regulations. This role is crucial for the smooth operation of our financial processes and will involve collaboration with various departments to support overall business objectives.
Location: Lower East Side, Manhattan, NY
Job Type: Part time, Hybrid. 16-24 hours per week, flex hours. 1 day minimum in office.
Salary: 41,000–52,000 + Benefits Negotiable

Job Description: We are seeking a self-motivated and detail-oriented Bookkeeper to join our team. The ideal candidate will have a strong background in accounting, exceptional organizational skills, and a passion for supporting the financial operations of a growing mission-driven firm.
Ideal candidates will have:
- 5+ years of QuickBooks experience, especially Quickbooks online
- expertise in managing hourly budgets
- experience in architecture or related consulting
- residency in the NYC metro area (1 day / week in office minimum)
We're also considering all candidates with:
- 3–5 years of experience in bookkeeping or accounts receivable
- proficiency in QuickBooks and Paychex Flex
- strong Excel skills and experience with financial tracking systems.
- excellent organizational and communication skills
- an ability work independently and meet deadlines
- authorization to work in the U.S.
Responsibilities:
- Accounts Receivable Management: Create and send invoices, track payments, and follow up with clients to ensure timely collections.
- Financial Record-Keeping: Maintain accurate records by saving invoices and receipts (both physical and digital) and reconciling banking transactions in QuickBooks.
- Month-End and Year-End Processes: Oversee month-end closing, bank reconciliations, annual tax filings, and audit preparations.
- Payroll and Timesheets: Process payroll and record timesheets for 18 full-time and freelance employees.
- Financial Analysis and Reporting: Analyze financial data, identify trends, and prepare reports to inform management and support strategic decision-making.
- Compliance and Policy Development: Ensure compliance with financial regulations, manage insurance policies, and develop internal financial policies to improve efficiency.
- Project Tracking: Monitor project statuses and pending invoices using Excel.
- Expense Management: Collaborate with project managers to ensure accurate time management, timely recording of billings and expenses.
- Perform bank reconciliation to confirm that bank statements align with company records.
