We are seeking a highly organized Administrative Assistant & Receptionist to provide direct support to our attorneys and financial professionals. This role requires someone who is proactive, detail-oriented, and comfortable interacting with high-net-worth clients. You will manage the front office, assist with legal and financial documentation, and help keep our team organized and efficient.
Responsibilities:
Client Services & Reception
- Greet, welcome, and direct visitors professionally.
- Answer, screen, and route phone calls with a high level of professionalism.
- Manage front desk operations and ensure the reception area is presentable.
- Interface with clients, addressing their legal and financial concerns.
Administrative & Legal Support
- Manage attorney and financial advisor calendars—schedule calls and meetings.
- Assist attorneys and financial advisors in preparing for client meetings and court appearances.
- Monitor attorney and advisor emails and delegate tasks appropriately.
- Draft and format formal emails, memoranda, letters, and reports.
- Handle confidential client documents with discretion.
Court & Financial Document Processing
- Legal: File/record petitions, deeds, and other legal documents with the court.
- Financial: Assist in processing financial account applications, investment statements, and trust funding documentation.
- Handle e-filing of court documents and serve parties with legal filings via mail or e-service.
Mail & Office Organization
- Receive, sort, and distribute daily mail, deliveries, and couriers.
- Maintain a well-organized filing system for legal and financial records.
Requirements:
- Proficient with Microsoft Office Suite and Adobe Acrobat
- Self-starter with excellent work ethic, multitasking abilities, and professionalism
- Strong written and verbal communication skills
- Highly organized and able to prioritize tasks as they arise
- Bachelor’s degree or equivalent experience preferred but not required
- Law firm or financial services experience preferred but not required
