Our Client, a Prestigious University, is seeking a Part-Time Administrative Assistant in their New York, NY location.
***This position is Part-Time, 20-25 hours per week, which could be arranged as a few hours a week or 2-3 full days.
Responsibilities
- Provide direct administrative support for NYC Preparedness & Recovery Institute (PRI) operations, including correspondence, document scanning, meeting coordination, mailings, shipments, and internal/external communications. (35%)
- Manage and process all travel-related arrangements for PRI staff and sponsored travelers. (5%)
- Maintain and update the PRI Constituent Relationship Manager (CRM) and directories to ensure accurate stakeholder contact information. (20%)
- Assist in planning and coordinating PRI-sponsored events, ensuring proper arrangements for equipment and general administrative support. (15%)
- Monitor office supplies and equipment, coordinate maintenance requests, and place supply orders as needed. (5%)
- Provide dedicated administrative support to the Director of NYC PRI. (10%)
- Handle sensitive and confidential information with discretion. (5%)
- Perform additional administrative tasks and duties as assigned. (5%)
Requirements
- Bachelor’s degree (BA) preferred; equivalent experience may be considered.
- Minimum of 3 years of relevant professional experience.
- Strong organizational and administrative skills.
- Proficiency in managing communications, scheduling, and document preparation.
- Experience with CRM systems and data management.
- Ability to plan and coordinate events, including logistics and equipment setup.
- Attention to detail and ability to maintain confidentiality.
- Proficiency in Microsoft Office Suite and other relevant software.
