About The Role:

As the first point of contact for clients and visitors, the Administrative Assistant will play a key role in ensuring a welcoming and professional environment. This position requires excellent communication skills, attention to detail, and the ability to multitask in a dynamic setting. Responsibilities include managing a multi-line phone system, greeting guests, coordinating office supplies and mail distribution, and assisting with administrative tasks.

Key Responsibilities:
- Welcome clients and visitors, ensuring a hospitable and polished front-desk experience
- Coordinate incoming and outgoing mail, packages, and correspondence to maintain smooth daily operations
- Oversee office organization by managing meeting room schedules, tracking supply inventory, and liaising with maintenance vendors
- Provide administrative support through document preparation, data entry, and general clerical tasks
- Assist in planning office events, team gatherings, and catered meetings in collaboration with HR
- Maintain shared office spaces, ensuring a tidy, organized, and efficient work environment
Key Skills/Requirements:
- Prior experience in a front-desk, receptionist, or administrative support role
- Excellent verbal and written communication skills with a professional and welcoming demeanor
- Strong organizational abilities with the capacity to manage multiple tasks efficiently
- Proficiency in Microsoft Office and other office management software
- Discretion in handling confidential information and a high level of professionalism
- A proactive, detail-oriented mindset with a collaborative team approach
- Ability to work independently while staying adaptable in a dynamic office setting
