Responsibilities:
- Arrange domestic and international travel, including flights, accommodations, and transportation.
- Prepare detailed itineraries and manage travel-related logistics.
- Maintain and manage executive calendars with utmost accuracy.
- Schedule and coordinate meetings, appointments, and events.
- Prepare, submit, and track expense reports.
- Organize and schedule internal and external meetings.
- Prepare agendas, take meeting minutes, and distribute them as required.
- Coordinate with various departments and external parties for seamless meetings.
- Create, review, and maintain documents, reports, and presentations.
- Ensure all documents are filed and organized properly, both digitally and physically.
- Manage office supplies and maintain inventory levels.
- Coordinate with facility management on office maintenance and other needs.
- Screen and prioritize emails, phone calls, and other communications.
- Draft and send communications on behalf of executives.
- Assist in planning and organizing company events and functions.
- Maintain positive relationships with internal and external stakeholders.
- Handle confidential information with trust and integrity.
Key Qualifications:
- Bachelor's degree or equivalent work experience in a related field.
- Bilingual in Spanish is highly desirable.
- Proven experience as an Executive Assistant or in a similar role.
- Excellent organizational and time-management skills.
- Strong interpersonal and communication abilities.
- Proficiency in Microsoft Office Suite, Concur, and calendar management tools.
- Ability to handle sensitive information with confidentiality and discretion.
- Strong attention to detail and problem-solving skills.
