Meeting & Event Planning Manager
Job Description Summary:
The Meeting and Event Manager is responsible for planning, organizing, and executing high-quality events that align with the organization’s strategic goals and brand standards. This individual will manage the full event lifecycle, from concept development and budgeting to on-site execution and post-event evaluation. They will collaborate with internal stakeholders, external vendors, and partners to deliver seamless and impactful experiences that support the organization’s objectives.

KEY RESPONSIBILITIES

- Develop event strategies and objectives in collaboration with leadership and stakeholders.
- Manage the planning and execution of corporate events, conferences, trade shows, client meetings, and internal team events.
- Identify and secure venues, negotiate contracts, and manage vendor relationships.
- Coordinate event logistics, including AV, catering, transportation, and on-site staff.
- Create and manage event budgets, ensuring cost-effectiveness without compromising quality.
- Track expenses, process invoices, and reconcile budgets post-event.
- Collaborate with marketing teams to develop event promotional materials and campaigns.
- Ensure consistent branding and messaging across all event touchpoints.
- Coordinate event communications, including invitations, registration, and follow-ups.
- Act as the primary point of contact during events to ensure smooth execution.
- Oversee event setup, execution, and teardown, resolving issues in real time.
- Manage on-site staff and vendors, ensuring high-quality service delivery.
- Gather attendee feedback and analyze event performance against objectives.
- Provide detailed post-event reports, including insights and recommendations for future improvements.
- Ensure events comply with all applicable laws, regulations, and company policies.
- Develop contingency plans to address potential risks or emergencies.

- Availability to travel and work flexible hours, including evenings and weekends as required.
- Experience in budgeting and financial management.
- Knowledge of industry trends and best practices in meeting and event planning.
- This role may require extended periods of standing and walking during events.
- Maintain travel as required
- Ability to work extended hours when necessary
