Roles and Responsibilities:

Location: Holtsville NY USA 11742

Shift: 8 to 5

Hybrid-3 days in the office- Tue, Wed, Third day can be determined by worker.

Position is 6-12 months

Pay rate: $35 to $42/hr

  • Conduct site assessments and surveys to ensure accurate occupancy, furniture, space type, and client data.
  • Prepare and present detailed space utilization options to Real Estate leads.
  • Optimize space usage for efficiency and functionality.
  • Analyze space utilization data to identify improvement opportunities.
  • Ensure compliance with core program standards.
  • Proactively develop and implement space planning solutions.
  • Maintain a working knowledge of space management systems.
  • Receive and process client move requests.
  • Participate in planning meetings with clients and key stakeholders.
  • Create and manage move phasing documentation for large move projects.
  • Prepare and update move status reports.
  • Monitor changes to move scope and requirements and adjust plans accordingly.
  • Work with IWMS (ManhattanOne) system management, including floor plan updates (via AutoCAD), space and move data.
  • Develop proposed floor plan layouts, operational project layouts, and event space layouts.
  • Support broader space management projects and initiatives.
  • Manage ticket requests for new hires, space planning, moves, and other space-related needs.
  • Update and maintain space stacking plans and floor block plans, conducting data-supported space analyses.
  • Conduct physical space audits to validate occupancy data and collaborate with onsite teams.
  • Provide Excel-based analysis of CAFM data to support planning scenarios.
  • Develop clear and visually engaging presentations to communicate space planning insights.
  • Ensure best-in-class space and occupancy data management.
  • Update databases based on HR inputs for new hires, terminations, and moves.
  • Support quarterly audits by conducting site walks and updating data, collaborating with onsite teams for remote locations.

Qualifications & Skills:

  • Experience: 2-4 years in space planning, design, occupancy planning, or workplace strategy in a corporate real estate environment.
  • Preferred Background: Design, architecture, workplace planning, or strategy experience.
  • Technical Skills:
  • Intermediate to advanced proficiency in Microsoft Office.
  • Strong ability to read and interpret building drawings and floor plans.
  • Experience working with CAD or drafting software.
  • Familiarity with space planning and IWMS/CAFM software.
