Works cooperatively with Fiscal Officer, Accounting and Human Resources staff in completing the clerical and accounting tasks necessary for the efficient and accurate operation of the payroll department.

Duties/Responsibilities

May include the following:

  • Prepares bi-weekly payroll for all Community Action employees.
  • Prepares billing for each program account for bi-weekly payroll taxes and insurance.
  • Deposits checks for payroll expenses before payday.
  • Prepares checks, insurances, and other payable payments.
  • Performs assignments that the Fiscal Officer assigns.
  • Prepares schedules, tables, and spreadsheets as needed.
  • Balances cash journal and general ledger at end of each pay period and prepares trial balance at end of each month.
  • Compiles shared expenses; prepares related billing and distributes to programs each month.
  • Reconciles insurance billing for HMO, PPO, COBRA, Dental and Life Insurance.
  • Reconciles accounts payable monthly in a timely manner.
  • Reconciles interfund receivable monthly in a timely manner.
  • Reconciles bank statements monthly in a timely manner.
  • Performs tasks related to office procedures and functions; including typing, filing, shredding, and word processing.
  • Prepares all deposits to be sent to bank.
  • Travels to bank, post office, etc. for agency related business as needed.
  • Interacts with staff, volunteers, and visitors in a pleasant and effective manner.
  • Cooperates and works as a team in the workplace by assisting others as time allows.
  • Adheres to all Community Action policies and procedures.


General Indicators:

  • Submits time sheets accurately and on time to supervisor.
  • Submits mileage accurately and on time to supervisor.
  • Attends all staff and other meetings as assigned.
  • Manages time effectively.

Requirement/Qualifications

Preferred:

  • Payroll experience within the past two years’
  • Experience using Paycor Payroll system
  • Ability to speak English and Spanish


Required:

  • High School Diploma or GED
  • Two years’ payroll processing experience
  • Knowledge of payroll procedures, IRS reporting, spreadsheets, and word processing
  • Knowledge of the principles of office management
  • Experience with General Leger bookkeeping


Other Requirements:

  • At least 21 years old
  • Daily access to a vehicle
  • Vehicle liability insurance
  • Valid Texas Drivers’ License
  • Criminal Background Check required before hire
