Administrative Assistant Responsibilities:
- Accurately input sales and client data while generating and confirming purchase orders within the company’s system.
- Manage and coordinate logistics schedules by effectively communicating with suppliers, NVOCCs (Non-Vessel Operating Common Carriers), and customers to ensure seamless operations.
- Oversee shipment arrangements by preparing, reviewing, and verifying all shipping documents for accuracy and compliance.
- Track and monitor incoming and outgoing inventory to maintain optimal stock levels and prevent discrepancies.
- Organize and maintain comprehensive shipping records, including invoices, claims, debits, and credits, ensuring easy access and accuracy.
- Process and enter purchase orders and sales confirmations efficiently into the company’s system to maintain up-to-date records.
- Generate and manage payment vouchers for company expenses, ensuring timely and accurate processing.
- Facilitate business operations by submitting and processing new customer and vendor applications with attention to detail and compliance.
- At least 1 year of general office experience
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) with the ability to create, edit, and analyze documents efficiently.
- Familiarity with import/export terminology and international shipping processes is preferred.
- Accuracy in typing, data entry, and cross-checking to ensure error-free documentation and record-keeping.
- Strong organizational and multitasking skills, with the ability to manage multiple priorities in a fast-paced environment.
