Administrative Assistant

Manders Companies Inc. is currently seeking an Administrative Assistant to join our Rockville, MD office.
The ideal candidate will exhibit high standards, excellent communication skills, and have an ability to take initiative, and prioritize daily tasks. A strong ability to take charge and meet tight deadlines will ensure your success in this multi-faceted role.
Essential Duties and Responsibilities (but not limited to)
- Respond to and resolves administrative inquiries and questions timely
- Maintain filing systems as assigned
- Obtain material pricing, order materials and samples per contract requirements
- Process material and subcontractor invoices for project tracking and provide to accounting
- Complete security clearance, LEED forms, and other required documents for contract purposes
- Create and update spreadsheets, forms, and reports for billing, cost analysis, and tracking
- Issue and maintain subcontracts, purchase orders, and other project required documentation (this includes requesting Certificate of Insurance, W-9, samples, and submittals)
- Assist and prepare submittal packages and proposals
- Create field folder with detailed project and material information, plans, scope, and other required information
- Update and verify weekly timecards to job portfolio and provide to payroll
- Completed project closeout documentation and other project/client requirements
- Assist with ordering paint and other on-site materials or equipment
- Provide general assistance to the office and field staff
- Perform other related duties as assigned
Minimum Qualifications (Knowledge, Skills, and Abilities)
- Excellent written, oral, and interpersonal communication skills
- Computer use and knowledge. Proficient in Microsoft Suite of products, Adobe, and similar software products
- Bilingual (English/Spanish) - Required
- Excellent organizational skills
- Provide discretion when handling sensitive information
- Basic understanding of clerical procedures and system such as recordkeeping and filing
- Work and thrive in a fast-paced environments, independently or within a team
