Position Summary
The Parish Office Administrative Assistant provides direct support to the Pastor, Deacons, staff members, and parish organizations as needed.
Primary Duties And Responsibilities
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. While performing the duties of this job the employee is regularly required to remain in an office at a computer workstation and access information from a computer and use a telephone. The employee is required to be mobile to, from, and within the office, as well as maneuver throughout the school facility to attend meetings, briefings, and other work-related events. The employee may be required to conduct trips to, from, and within various city and county-wide locations to attend meetings or events. The employee must occasionally lift and/or move up to 15 pounds. This position may require evening and weekend work.

Position Summary

Primary Duties And Responsibilities
- Answer and manage incoming calls. Takes accurate messages
- Greets visitors and assists as appropriate
- Process outgoing and incoming mail
- Word processing of letters, reports and memos; mail, copy, collate materials and filing as needed
- Prepares and prints weekly bulletin, post on website when completed
- Schedules events and meetings; Mass intentions; Weddings and Funerals as requested and collect appropriate donations or fees.
- Issues and monitors keys.
- Inspects and ensures facilities booked for events are in order and clean after the event
- Prepare and review calendar of events for parish, as obtained from staff and ministries; identify and handle any scheduling conflicts
- Oversees inventory of supplies; order supplies as needed
- Order yearly parish calendar for parishioners
- Prepare monthly e-mail communications (newsletters) using Constant Contact; maintains parishioners' constant contact list
- Office Liaison for Fiesta Committee members during Fiesta
- Provides support to the Religious Education coordinator

- Proficient with Microsoft Office and Google suites, along with other cloud-based software (i.e. Flocknote, Publisher, Parish Soft).
- Familiarity with social media platforms (e.g. Facebook, Instagram, etc.)
While performing the duties of this job the employee is regularly required to remain in an office at a computer workstation and access information from a computer and use a telephone.
