Summary Of Job Duties

The Executive Assistant plays a key role in providing high-level administrative support to senior leadership within the Department of Biomedical Informatics. This position is essential in ensuring smooth daily operations and effective communication across the department.

Qualifications

  • Bachelor's Degree PLUS two (2) years of administrative or related experience OR High School Diploma/GED Plus six (6) years of administrative or related experience.

Knowledge, Skills & Abilities

  • Knowledge of Endnote, Workday, and video conferencing is a plus.
  • Requires proficiency in Microsoft Email, Word, PowerPoint, and Excel.

Preferred Qualifications

  • Master's degree in a related field
  • Experience providing executive-level administrative support in an academic, healthcare, or research environment
  • Strong proficiency in calendar management, travel coordination, and handling confidential matters

Additional Information

Responsibilities

  • Manage complex executive calendars, including scheduling meetings, appointments, and departmental events.
  • Coordinate and process all travel arrangements, reimbursements, and expense reports in compliance with institutional policies.
  • Serve as the primary point of contact for internal and external communications, handling correspondence with professionalism and confidentiality.
  • Organize and facilitate departmental meetings, including preparing agendas, materials, and meeting minutes.
  • Answer and manage the department's main phone line, providing excellent customer service and directing inquiries appropriately.
  • Welcome and assist visitors, ensuring a positive and professional experience.
  • Support the resolution of sensitive and confidential administrative matters with discretion, tact, and respect.
  • Other duties as assigned.
