We are seeking a highly skilled and detail-oriented Technical Project Support Specialist to provide crucial technical assistance to the management team, Project Managers, and Program Managers. The ideal candidate will support effective project management, enhance communication, and drive successful project execution across multiple workstreams.

Key Responsibilities:

  • Project Support & Management Assistance: Provide technical support to management, Project Managers, and Program Managers with project request management, project prioritization, resource allocation, and regular portfolio reviews to ensure successful project execution.

  • Data Collection & Analysis: Research, gather, and evaluate project data to meet reporting and evaluation requirements, ensuring timely and accurate information for decision-making.

  • Oracle Fusion Implementation Support: Assist in overseeing and managing workstreams and projects related to the successful implementation of Oracle Fusion.

  • IT Support Administration: Provide administrative support to the IT Management team, dedicating 10 hours each week to assist with assigned tasks and projects.

  • Project Planning & Schedule Management: Develop, maintain, and update project plans and schedules using tools such as Jira and Smartsheet. Ensure projects are on track by monitoring progress and facilitating necessary adjustments.

  • Tool Configuration & Customization: Design and implement configurations for project management tools (Jira, Smartsheet) to support project workflows, optimize resource allocation, and enhance tracking capabilities.

  • Documentation & Change Management: Assist management and Program Managers in creating project concept documents, project charters, and change management communications throughout the project lifecycle.

  • Liaison Role: Act as the primary liaison between system implementers and client for requests, standards, expectations, and other program and project-related matters, ensuring seamless communication and issue resolution.

  • Change Control Management: Maintain the project change control process, including the creation and tracking of changes in project scope to ensure proper documentation and transparency.

  • Risk & Issue Management: Identify and document project issues, risks, and defects within project plans and escalate them to senior management as necessary. Monitor and maintain risk logs and issue resolution processes.

  • Communication Plan Monitoring: Oversee the project communication plan, ensuring effective and timely communication across all stakeholders to promote alignment and project success.

  • Project Performance & Reporting: Monitor project performance, track status, and assist in creating action plans to ensure adherence to project timelines and deliverables.

Qualifications:

  • Proven experience in technical project management and support.
  • Expertise in using project management tools (Jira, Smartsheet).
  • Strong understanding of project prioritization, resource allocation, and reporting.
  • Familiarity with Oracle Fusion implementation is a plus.
  • Excellent communication and interpersonal skills to collaborate across teams and stakeholders.
  • Ability to identify and mitigate project risks and issues.
  • Strong organizational skills and attention to detail.
