ABOUT THE ROLE

We are hiring a Fractional Head of Programs to oversee coaching operations and ensure our programs are delivered effectively and efficiently. The Head of Programs will work closely with the Founder to execute and refine the company’s coaching model, manage the Head Coach, and improve program delivery. This is a hands-on leadership role focused on running the coaching department, not creating new products or setting the coaching vision—that remains with the Founder.

This role is ideal for someone who thrives in coaching leadership, team management, and program execution. You should be highly organized, decisive, and able to implement systems that keep our coaching programs running smoothly. This is a strategic and managerial role, not a hands-on coaching position.

KEY RESPONSIBILITIES

  • Manage Coaching Operations: Ensure all coaching programs are delivered effectively and in alignment with company values and quality standards.
  • Supervise the Head Coach: Provide leadership, oversight, and accountability to ensure coaching teams meet expectations and deliver results. Act as a decision-maker for unique client-coach situations when escalated by the Head Coach.
  • Monitor Client Retention & Experience: Track and improve client success, retention, and satisfaction metrics (NPS).
  • Optimize Systems & Processes: Implement and refine systems that improve coaching efficiency, scheduling, and client experience.
  • Oversee Curriculum Implementation: Ensure coaching teams execute the curriculum as designed, making necessary adjustments to improve delivery.
  • LMS & Internal Coaching Systems Oversight: Oversee the use of the Learning Management System (LMS) and ensure smooth integration of internal systems for coaching delivery, working with the Operations team for automation and technical support.
  • Maintain & Manage the SOP Library: Ensure all Standard Operating Procedures (SOPs) for the coaching department are complete, updated, well-organized, and accessible to the team. Work with the operations team and Head Coach to develop SOPs as needed, but hold overall responsibility for their upkeep and implementation.
  • Process Optimization & Coaching Systems Coordination: Ensure coaching department systems are effectively used and continuously improved. Collaborate with the Operations team to identify opportunities for automation, streamline workflows, and enhance efficiency.
  • Support Retreat & Event Execution: Assist with live events and retreats by planning logistics, and ensuring coaching team readiness and program alignment.
  • Track & Improve Performance Metrics: Use data to assess program effectiveness and make informed improvements.
  • Monitor Coach Upsell KPIs: Track conversion rates for coaches upselling clients into higher-tier programs. While not responsible for sales strategy, the Head of Programs will monitor coach upsell KPIs and collaborate with the Head Coach to ensure each coach is meeting their targets. When necessary, provide support to the Head Coach in holding coaches accountable for performance.
  • Hiring & Team Development: Ensure the coaching team is properly staffed and trained, working closely with the Head Coach to develop talent.

KEY PERFORMANCE INDICATORS (KPIs)

  • Client Retention Rate: Maintain or improve retention benchmarks.
  • Net Promoter Score (NPS): Sustain a high client satisfaction score.
  • Coaching Team Performance: Ensure the team meets coaching effectiveness and engagement targets.
  • LMS Completion Rates: Increase client engagement and course completion metrics.
  • Operational Efficiency: Improve workflows and reduce inefficiencies.
  • Successful SOP Management: Ensure all coaching SOPs are up-to-date, organized, and properly implemented.
  • Coach Upsell Performance: Track and monitor coaching team’s conversion rates into higher-tier programs, ensuring accountability for KPIs.

WHO YOU ARE

  • Experienced in Coaching Operations & Leadership: You have direct coaching experience OR have led coaching teams and program delivery at scale. While direct coaching experience is not mandatory, it is a strong plus.
  • Strong in Execution & Decision-Making: You get things done efficiently, anticipate problems, and solve them quickly.
  • Detail-Oriented & Organized: You can track multiple moving parts and keep everything running smoothly.
  • Data-Driven & Process-Focused: You make decisions based on numbers and continuously improve systems.
  • Comfortable Overseeing Internal Systems & Workflows: You are skilled in overseeing the efficient use of internal systems and ensuring coaching operations run smoothly.
  • Not in Active Burnout or Recovery from Burnout: Given our mission, we need a leader who is personally resourced and able to support a high-functioning team.

REQUIREMENTS

  • 5+ years in coaching operations, leadership development, or program management.
  • Proven experience managing coaching teams and improving program efficiency.
  • Familiarity with Learning Management Systems (LMS) and tech-based coaching platforms.
  • Strong ability to track performance metrics and make data-driven improvements.
  • Experience managing internal systems and workflows, with the ability to collaborate with an Operations team for technical implementation and improvements.
  • Experience in high-growth coaching organizations (e.g., Tony Robbins, The Life Coach School) is a plus.
  • Coaching experience is a plus.

WORK ARRANGEMENTS & COMPENSATION

  • This position is a fully remote, independent contractor role with flexible hours.
  • Compensation is competitive and based on experience.
