We are seeking a dynamic, detail-oriented, and experienced Executive Assistant to join our vibrant team in the Non-Profit sector. You will provide comprehensive administrative support to our high-level executive team, ensuring the smooth operation of our business. This role demands a high degree of professionalism, superior organizational skills, and the ability to manage multiple tasks simultaneously. You will play a critical role in coordinating projects, managing schedules, and ensuring our office operations run smoothly and efficiently.
Responsibilities
- Provide top-level administrative support to the executive team, handling confidential information with discretion.
- Manage complex calendars, arrange meetings and appointments, and provide reminders for the executives.
- Coordinate project management activities, resources, equipment, and information, ensuring all projects are completed on time.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Conduct research, compile data, and prepare reports for consideration and presentation to the executive team.
- Liaise with internal departments and external organizations, fostering positive relationships.
- Manage and maintain executives' schedules, appointments, and travel arrangements.
- Implement and maintain office administrative systems, procedures, and policies.
- Assist in the preparation of regularly scheduled reports and presentations using the Microsoft Office Suite.
- Provide a bridge for smooth communication between the executive team and internal departments, demonstrating leadership to maintain credibility, trust, and support.
- A minimum of 5 years of experience as an Executive Assistant or similar role, preferably in the finance industry.
- Proven experience in administrative support and project management.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
- Exceptional organizational skills with the ability to prioritize tasks and work on multiple projects simultaneously.
- Excellent verbal and written communication skills.
- High level of professionalism and confidentiality.
- Excellent problem-solving skills and a proactive approach to work.
- Experience in managing and maintaining schedules effectively.
- Ability to work independently and as part of a team.
- Bachelor's degree in Business Administration or related field is preferred.
