Position Summary
The Executive Assistant reports directly to the Chief Executive Officer (CEO). This position maintains schedules for both the CEO and the Chief Financial Officer (CFO). Furthermore, this position is responsible for diverse and advanced administrative functions. This position will routinely interact with high level executives in a professional and confidential manner. Lastly, this position is required to prepare professional correspondence, presentations, and take Finance and the Board of Director Committee minutes.
This position requires the full understanding and active participation in fulfilling the mission of Saddleback Medical Center. Essential Functions And Responsibilities Of The Job
- Manages the CEO and CFO’s schedule prioritizing and maintaining workloads to ensure each executive is adequately prepared for each meeting.
- Arrange travel as often as needed ensuring all information is organized to provide appropriate tracking of expense reports and reimbursement.
- Effectively interacts and communicates with high level leadership and board members / directors to ensure all leaders have necessary follow-up materials for all meetings.
- Provides high level administrative and clerical support to foster smooth Hospital Administration operations.
- Prepares accurate and professional correspondence on behalf of Sr. Leadership.
- Professional interacts with Sr. Leadership as well as Board / Committee Members across the MemorialCare health system and outside agencies.
- Effectively maintains schedules, meetings, conferences etc.
- Records meeting meetings accurately and in a timely manner.
- Initiates and accurate tracks Purchase Orders, Reimbursement and Expense Reports.
- Manages daily administrative duties to support Hospital Administration.
- Ability to prioritize and multitask.
- Other duties as assigned
- Placement in the pay range is based on multiple factors including, but not limited to, relevant years of experience and qualifications.
