Summary/Objective: Administrative Assistant I responsible for supporting an administrative professional to help them stay organized and complete tasks that allow them to focus on more advanced responsibilities. Duties organizing meetings for Administrators, greeting office visitors, and composing documents on behalf of Administrators. Have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment.

Duties Include, But Are Not Limited To

The core duties and responsibilities of an Administrative Assistant revolve around supporting others. Their job duties can vary widely, not just from job to job, but from day to day at the same job. On any given day, they may perform a variety of tasks, such as:

  • Answer phones and greet visitors
  • Schedule appointments and maintain calendars
  • Schedule and coordinate staff and other meetings and take detailed minutes
  • Collate and distribute mail
  • Prepare communications, such as memos, emails, invoices, reports, and other correspondence
  • Create and maintain filing systems, both electronic and physical
  • Order office supplies and research new deals and suppliers
  • Provide widespread support to visitors
  • Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

Education/Experience Required

  • Must be 18 years old.
  • Must be able to work in the US.
  • High School Diploma or equivalent,
  • Must have a valid California driver's license.
  • Must possess basic skills (reading, writing and mathematical skills).

Preferred

  • A plus, previous experience in a ship repair environment.
  • Additional qualification as an administrative assistant or Secretary will be a plus
  • MS Office (Outlook, Word, Excel) computer skills.

Work Environment: This job operates in an office work environment.

Travel: This position does not require ability to travel.

Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

The physical demands for this position are light to moderate. This position requires sitting for extensive periods of time.
