About The Position

Position is primarily responsible for performing support services for the Executive Director and the overall operation of Administration.

Job Duties

  • Interacts with and serves as liaison between the Office of the Executive Director, staff, residents and guests.
  • Maintains and coordinates the Executive Director's meeting schedule and assists with all office procedures.
  • Monitors office equipment for proper functioning, usage and supply levels and recommends new or replacement equipment
  • Provides administrative support for the Financial Assistance Program in preparation and distribution of annual rate increase letters.
  • Prepares, monitors and provides supportive documentation on Administrative office operating budget.
  • Prepares expense reimbursements and travel/conference arrangements for Executive Director.
  • Supervises administrative support to Chaplaincy, Clinical Pastoral Education, and Resident Services.
  • Coordinates and oversees apartment closure procedures by ensuring residents, families and staff receive proper guidelines and assistance, including installation and removal of security keys and associated procedures.
  • Serves as recording secretary for various meetings, is responsible for distributing minutes and maintaining various committee files.
  • Submits bi-weekly payroll for administrative staff and Chaplain.
  • Assists Resident Council Chair and other resident committee chairs as appropriate with communications and Resident Council projects.

Job Qualifications

  • Minimum qualifications include a high school diploma. College degree preferred.
  • Minimum five years experience as Executive/Administrative Assistant.
  • Must be able to quickly and accurately prepare documents, letters and other executive correspondence.
  • Excellent verbal and written communication skills.
  • Must be proficient with Microsoft Word and have basic skills using Access, Excel, Power Point and Outlook.
  • Must possess ability to deal tactfully with others.
  • Must possess a high standard of confidentiality.
  • Must be a Notary Public or be willing to become a Notary Public.
