Summary

Manage the preparation of assigned estimates. Support and coordinate activities concerned with

proposals, pricing, and contracts for sale of equipment, materials, products, or services.

Essential Duties/Responsibilities

Primary responsibility for tracking and coordinating the Project Manager Estimates under the PMO

Organization. Includes follow up with all departments supporting the estimate. Ensure timely and

responsive proposals are submitted to the Customer by the cognizant Contract Administrator.

As delegated by the Director of Estimating, have primary responsibility for preparing Estimates for "build

to print", repetitive and routine quotations which have supporting historical cost and pricing information.

Attend and participate in all Estimating Department meetings. Schedule and coordinate meetings for the

Estimating Department as required.

Act as the representative of the Estimating Manager in their absence. Includes chairing Estimating

Department meetings, taking notes, updating records, distribution, and assignment of RFP/RFQ documents,

processing Bid Decision Forms, etc. Unless specifically authorized in writing, this does not include

delegation of signature authority.

Review Request for Quote (RFQ), Bid Decision Form, ERP Reports, and other relevant information to

determine customer requirement and job history. Research parts history (includes NSN history) as

required. Coordinate with Project Manager, Engineering, and other Department Managers to identify

pertinent questions, missing information or data, or other items impacting the Estimate and Bid. Coordinate

with the Contract Department to submit questions, requests for clarification or missing information or data.

Obtain necessary copies of drawings, and/or Bill of Materials (BOM) from Document Control or Customer

and distribute to the required parties to obtain pricing support - Purchasing, Project Manager, Engineering,

or other Departments.

Compile and distribute memos and correspondence. File correspondence and other records. Utilize typical

Estimating Department and Project Management tools including ERP System, Smartsheet's, Teams and

other approved methodologies.

Preparation and maintenance of Estimating files. Review final Estimating file for accuracy, completeness,

and conformity. Prepare and send formal quotation packages to government and commercial customers as

required.

Create Costs Estimates using approved worksheets. Assist in pricing related activities. Generate pricing

and proposals for customers which may include

  • Generating Bill of Materials (BOM), itemize manufactured, assembled, and purchased items lists.
  • Gathering and reviewing historical information and prices from various sources and suppliers.
  • Consulting with various departments and vendors to generate estimates for hours and dollars.
  • Creating Excel worksheet with proposed selling price for Management approval.
  • Generating reports to assist in evaluating historical contracts for current bid requirements.
  • Creating BOM from customer supplied information.
  • Generating formal quotation and complete Bid Job Plan Summary on Atec Job Plan
  • Participating in customer audit of bid data

Maintain client/customer and outside vendor relations, including keeping current contact information.

Follow up with customer on award status of contract/purchase order.

Track bids in process by all Departments and cognizant Project Managers to ensure a timely response.

Communicate problems, delays, and questions to Contract Administrator, Contract Manager and Director

of Estimating Log and enter Request for Quotes (RFQ's) in bid tracking for quote number assignment and

ensure data is current. Acquire proposal status from Estimating Department, Contracts Department, Project

Managers, and customers, and update electronic system.

Assemble and collate data and create reports comparing Estimated Costs and/or Budgeted Costs versus

Actual Costs for projects as assigned. Support or perform price/cost analysis to determine variance

between Estimated/Budgeted Costs versus Actual Costs, investigate and identify reasons for variances,

etc.

Assist with gathering and obtaining data and compiling reports for Estimating Department input to the

Quarterly Report and Board Meetings.

Perform other related duties, as assigned, for the purpose of ensuring an efficient and effective work

environment.

Ensure activities are conducted in accordance with Atec International Standards Organization

(AS9100/ISO) policies and correct and report any deviations to appropriate area manager/supervisor.

Be familiar with and understand Atec Quality Policy and company objectives.

Understand required AS9100/ISO specific Procedures and Work Instructions.

Complete all records required by Procedures and Work Instructions.

Suggestion box, etc.).

Participate in AS9100/ISO training as required.

Cooperate with Auditors.

Report any deviations to appropriate area manager/supervisor.

Education And/Or Experience

High school diploma or General Education Degree (GED); or one to three years related experience; or

combination of education and experience.

Proficiency with computer software including word processing, spreadsheets, and database preferred.

Must possess or in a reasonable timeframe gain proficiency with company ERP system.

Must possess or in a reasonable timeframe gain familiarity and working knowledge of company products,

services, and customers as required to perform job responsibilities effectively.
