Summary

The Road Services Division is looking for an experienced Project/Program Manager IV to support our Fleet and Facilities operations. As the Fleet and Facilities Coordinator, you will provide the section with robust management and visibility into the inventory, condition, and needs of our assets. This role will provide day-to-day operational coordination and management, as well as support mid-term/long-term planning activities, including needs/budget assessments, and assist with necessary planning for electrification efforts. Job Duties

Fleet Management

  • Coordinate scheduling and regular maintenance and repairs of fleet vehicles to ensure operational efficiency and safety.
  • Coordinate vehicle assignments to drivers based on availability and driver qualifications.
  • Track fleet fuel consumption and implement strategies to reduce costs, improve fuel efficiency, and reduce greenhouse gas emissions.
  • Track and analyze fleet inventory and usage data to determine the optimal fleet size and composition, and make recommendations for vehicle acquisitions or disposals as necessary.
  • Ensure compliance with all local, state, and federal regulations regarding vehicle operation and maintenance, including obtaining necessary permits and licenses.
  • Manage insurance claims and coordinate with insurance providers for fleet vehicles, ensuring accurate and timely submission of all documentation.
  • Manage and track all fleet rentals to ensure efficient use of vehicles and reduce overall costs.
  • Investigate and report on incidents involving fleet vehicles, such as accidents and breakdowns, to determine causes and implement measures to prevent future occurrences.
  • Other duties as assigned.

Facilities Management

  • Manage building and equipment maintenance schedules and vendors.
  • Respond to and dispatch for urgent maintenance calls.
  • Oversee maintenance schedules and vendor coordination for buildings and equipment.
  • Oversee and coordinate the allocation of King County Roads facility and yard space to other divisions.
  • Prepare for emergencies by creating building evacuation and other action plans.
  • Coordinate facility security systems.
  • Manage facility furnishings, telecommunications, kitchen appliances, office equipment, supplies, and HVAC systems.
  • Develop and present the King County Roads Annual Facilities Maintenance Plan.
  • Document processes and maintain detailed records for all King County Roads maintenance facilities.
  • Monitor and forecast facilities maintenance needs and ensure effective prioritization and allocation of the maintenance budget.
  • Other duties as assigned.

Experience, Qualifications, Knowledge, Skills

  • Demonstrated experience in fleet and facilities management, maintenance coordination, and operations oversight.
  • Comprehensive knowledge of fleet operations, including vehicle maintenance scheduling, fuel efficiency strategies, and fleet inventory management.
  • Experience managing and coordinating vendor contracts and procurement.
  • Experience optimizing work processes, and implementing continual improvement practices to enhance efficiency in work flow.
  • Demonstrated experience efficiently organizing and managing multiple tasks simultaneously while balancing competing priorities and deadlines in a timely manner.
  • Demonstrated skill in policy development; knowledge of general government principles and procedures.
  • Ability to manage annual budgets.
  • Proficiency in applying both quantitative and qualitative analysis techniques to evaluate data and inform decision making processes.
  • Skill in identifying problems, conducting thorough research, troubleshooting issues, and implementing resolutions.

Interview Schedule

Those applicants who pass the initial screening will be invited to participate in a 15-minute phone interview the week of April 14, 2025.
