$85,000 – $91,000 base salary.

Duties and Responsibilities:
- Event Planning and Execution:
- Develop and execute comprehensive plans for chapter events and meetings for various chapters/regions in California, incorporating best practices to optimize attendee experience and engagement.
- Coordinate and execute all aspects of event logistics, including venue selection, budget management, catering, audiovisual setup, and transportation arrangements.
- Work closely with each chapter's corresponding Volunteer Manager to design events that reflect member interests and foster a strong sense of local community.
- Ensure adherence to timelines, budgets, and quality standards throughout the event planning and execution process.
- Operational Excellence:
- Maintain a keen focus on operational efficiency, overseeing all aspects of event logistics with precision and professionalism.
- Proactively identify opportunities to streamline processes and improve the effectiveness of event planning and execution.
- Strategic Event Management:
- Implement a regional model for events to ensure broader participation and engagement, leveraging insights into regional preferences and priorities.
- Collaborate with marketing and communications teams to promote events and maximize attendance through targeted outreach and promotion efforts.
- Cultivate relationships with sponsors and partners to secure financial support and enhance the overall value proposition of chapter events.
- Collaborate with chapter event committee members, ensuring buy in and involvement from local volunteers in each chapter.
- Onsite Management and Support:
- Provide onsite management and support at events throughout the state, overseeing all logistical and operational aspects to ensure smooth execution and attendee satisfaction.
- Act as a primary point of contact for event attendees, vendors, and partners, addressing inquiries and resolving issues in a professional and efficient manner.
- Conduct post-event evaluations to gather feedback and insights, identifying areas for improvement and incorporating lessons learned into future event planning efforts.
- If not attending the event, designate and prepare an appropriate representative to ensure success and continuity.
- Collaboration and Reporting:
- Collaborate closely with other Member Engagement teams and relevant stakeholders to ensure alignment of event objectives with broader organizational goals and initiatives.
- Work in close partnership with Volunteer Managers assigned to the same set of chapters to ensure unified strategies and complementary support structures.
- Leverage partnerships to enhance the quality and scope of chapter events, delivering exceptional value to attendees and stakeholders alike.
- Provide regular updates and reports on event planning and execution activities, including budget tracking, attendance metrics, and post-event evaluations.
- NorCal - based.
- Bachelor's degree in event management, hospitality, marketing, or a related field preferred.
- Willing and able to travel up to 30–40% throughout California and attend chapter activities or local events outside of regular working hours as needed.
- 3-5 years of experience in event planning and management, preferably in a nonprofit or association setting.
- Proven experience in event planning and management, with a track record of successful execution in a dynamic, multi-project or multi-site environment.
- Exceptional organizational skills and attention to detail.
- Demonstrated ability to pivot, manage concurrent timelines, and transition smoothly between events and priorities.
- Strong interpersonal and communication skills, with a collaborative approach to working with diverse teams and stakeholders.
