Position Overview

The Recruiting Coordinator will play a key role in supporting the organization’s talent acquisition efforts, ensuring smooth and efficient hiring processes. This role focuses on managing recruitment logistics, coordinating candidate experience, and assisting in proactive talent acquisition strategies. Working closely with the Recruiter and hiring managers across all sites, the Recruiting Coordinator will be instrumental in maintaining organized hiring workflows, tracking recruitment data, and facilitating effective communication with candidates and stakeholders.

Requirements

Essential Functions:

  • Job Postings & Sourcing: Assist with job postings, manage job boards, and support sourcing efforts to attract diverse and qualified candidates.
  • Recruitment Events & Diversity Hiring: Coordinate career fairs, college recruitment, and diversity hiring initiatives to expand candidate outreach and strengthen talent pipelines.
  • Candidate Experience & Interview Coordination: Serve as the primary contact for scheduling interviews, coordinating logistics, and ensuring professional, clear, and engaging communication with candidates and hiring teams.
  • Hiring Compliance & Process Standardization: Ensure adherence to hiring laws and organizational policies while supporting interviewers with structured interview formats, preparation materials, and best practices.
  • Applicant Tracking & Recruiting Metrics: Track and manage candidate pipelines using the ATS (preferably Paylocity), monitor key recruiting metrics, and analyze trends to optimize hiring strategies.
  • Hiring Manager Training & Support: Assist in training hiring managers on recruitment processes and systems to improve hiring efficiency and effectiveness.
  • Cross-Functional Collaboration: Partner with the People & Culture team to support broader HR initiatives while maintaining confidentiality in organizational and employee-related matters.
  • Strategic Recruitment Support: Develop a strong understanding of organizational staffing needs to align recruitment efforts with business objectives and workforce planning.

Required

Qualifications & Experience:

  • 2+ years of experience in recruitment coordination, HR support, or related roles.
  • Experience with ATS platforms, preferably Paylocity.
  • Proficiency in Microsoft Office Suite.
  • Customer service mindset with the ability to create a positive candidate and hiring manager experience

Preferred

  • Bachelor’s degree preferred or equivalent combination of experience and education.
  • Exposure to high-volume recruiting environments.
  • Understanding of HR compliance and best practices in hiring.
  • Bilingual in Spanish a plus.

Work Environment

This position will work primarily in a standard office environment at the Boys & Girls Club of San Leandro. This role may occasionally require flexibility to accommodate organizational events or deadlines. Key aspects of the work environment include:

  • Rarely required to stand.
  • Rarely required to walk.
  • Frequently required to sit.
  • Continually required to utilize hand and finger dexterity.
  • Rarely required to climb, balance, bend, stoop, kneel or crawl.
  • Continually required to talk or hear.

  • Occasionally exposure to bloodborne and airborne pathogens or infectious materials (Communicable diseases in an office environment including COVID-19, common cold, and flu viruses. Negative TB screen required).
