The ideal Manager of Operations will combine strong attention to detail with proven project management skills and strategic insight. This is a pivotal position designed for the individual who thrives on ownership, demonstrates initiative, leadership, and is driven to contribute meaningfully across the organization.

Spanning responsibilities in finance, accounting, business development support, and marketing operations, this role is ideal for a versatile professional who enjoys working cross-functionally and continuously seeks opportunities to improve processes and drive operational excellence.

Responsibilities:

  • Oversee day-to-day financial operations including: Daily reconciliation of balances with QuickBooks.
  • Weekly alignment of accounts including- Amex, checking, LOC, and SBA loan and reconcile and record weekly Amex transactions; assign expenses and create journal entries.
  • Ensure all financial data is accurate, current, and prepped for the accountant.
  • Communicate with the accountant to deliver correct reports and context.
  • Own budgeting awareness and help flag financial anomalies.
  • Take full ownership of operational and cross-functional projects from start to finish.
  • Use tools like Google Workspace, spreadsheets, and project management software to manage timelines and deliverables.
  • Proactively identify gaps, create processes, and drive completion.
  • Ensure the right people are informed, and deadlines are met.
  • Collaborate with Marketing (agency/firm?) and manage pipeline activity and list building.
  • Monitor business pipeline and flag when leads are running low.
  • Assist with light CRM work in HubSpot (tracking, updating, reporting).
  • Help schedule intro calls, maintain contact lists, and support campaign workflows.
  • Help lead updates (ex: improvements to the company website).
  • Support integration of digital tools that make the team more efficient (CRM, reporting, etc.)
  • Explore and implement technology-based solutions for business needs.

Qualifications (Required and Preferred):

  • 5–7+ years in operations, finance, or project management (small‑company or start‑up exposure a plus)
  • Mastery of QuickBooks and solid accounting chops (no CPA required, but you speak your accountant’s language)
  • Proven project‑management toolkit—timelines, risk tracking, and cross‑functional coordination
  • Fluency with Google Workspace, spreadsheets, and a modern CRM (HubSpot preferred)
  • A bias for action: you ask “What’s the goal?” then run with it—escalating only when needed
  • Polished written and verbal communication for executives, vendors, and teammates alike
  • A growth mindset—ready to evolve this role into a strategic leadership seat as the company scales
