Executive Assistant
We're assisting our client, a benefits solutions provider, in their search for an Executive Assistant. The Executive Assistant will provide administrative support to the executive team. This is a direct-hire opportunity for a customer-oriented and highly motivated individual who enjoys a fast-paced environment, with multiple projects and changing priorities, and has a passion for achieving results.
Workplace Type: Hybrid, mostly remote - some in-office presence will be needed for when the company president is also in office (usually 2-5 days per month in office)
Compensation Range: $25-$35/hour
Office Location: Winston-Salem, NC
Responsibilities:
- Prepare and edit correspondence, communications, emails, presentations, reports, and other documents
- Organizes and maintains hard copy and electronic filing systems to ensure an organized and well-maintained work environment; files and retrieves documents and reference materials
- Conduct research, assemble and analyze data to prepare reports and documents, databases, and spreadsheets
- Creates and maintains database and spreadsheet files
- Assists with organizing Board meeting materials.
- Provides support for outside organizations of president's involvement, including coordination of events, membership administration, maintaining/updating membership files, and correspondence with Board members, organization members, and non-members.
- Provides meeting material for all appointments to ensure that the president has all necessary information and paperwork for appointments and meetings.
- Arrange and coordinate meetings and events to include agenda preparation and recording/distribution of minutes, as requested
- Plan and execute meetings, events, conferences, and travel for executives, including catering, logistics, etc.
- Manage and maintain schedules, appointments
- Manage, sort, and distribute incoming mail and communications
- Perform general administrative duties, including but not limited to photocopying, scanning, faxing, mailing, receiving visitors, outside errands, and answering and managing incoming phone calls
- Assist the executive team and the management team with organization, follow-up, and management of action items and project-oriented responsibilities
- Interact with external clients and internal team members in a friendly and professional manner
- Review operating practices and implement improvements where necessary
- General office organization, such as tidiness and upkeep of common areas, kitchen, meeting rooms, etc.
- Handling of confidential information and documents with discretion
- Other duties, as assigned
Education and Experience:
- Advanced computer skills and in-depth knowledge of relevant software such as MS Office Suite, Office 365, SharePoint
- Knowledge of standard office administrative practices and procedures to include telephone protocol
- Ability to type 55 wpm
- Minimum of Associate's Degree and/or equivalent through 3 – 5 years of experience providing support at the executive level
