Executive Assistant and Board Liaison (April - August 2025)

Job Title: Executive Assistant and Board Liaison FLSA: Full-time, Exempt, April - August 2025

Work Hours: M-F (Flexible hours)

Location: Central East Austin, TX 78701

POSITION SUMMARY:

The Executive Assistant/Board Liaison provides proactive and professional administrative support for the Chief Executive Officer and the Board of Directors in order to contribute to efficient and effective operations of the CEO, the Board of Directors and Board committees.

ESSENTIAL FUNCTIONS:

Provide general administrative support to the CEO, including coordinating and managing the CEO s calendar and appointments, drafting and managing CEO correspondence including phone calls and mail, and managing all travel arrangements including expense reports.

Manage the activities of the Board of Directors and provide support to individual Board members to optimize the effectiveness of their activities on behalf of the organization.

Assist the CEO on activities related to fundraising and development.

Make arrangements and provide logistical support for the internal and external meetings of the CEO, Board and Board committees.

Provide input to and prepare agendas and information packets for meetings; review packets for completeness and consistency and ensure timely distribution.

Draft official minutes for meetings as assigned and draft correspondence for CEO review and approval.

Maintain Board rosters, bios, forms and files.

Participate in team meetings as needed and support the team approach to planning, service delivery and problem solving.

Manage special projects on behalf of the CEO and in collaboration with Staff and Board.

All work is performed with a direct reflection of the mission and values of the organization

OTHER ACCOUNTABILITIES:

Special projects and other duties as assigned

PHYSICAL DEMANDS AND WORK ENVIRONMENT:

Characterized as primarily sedentary work requiring exertion up to 10 pounds of force to lift, carry, push or otherwise move objects.

Ability to create documents at a computer and talk with people by phone and in person.

Flexible work schedule and ability and willingness to be available as needed for after hours events.

EDUCATION AND EXPERIENCE:

Associate s degree required; Bachelor s degree preferred.

A minimum of five (5) years of highly responsible administrative/office management experience is required, including at least two (2) providing support at the executive level.

Nonprofit organization experience preferred.

KNOWLEDGE, SKILLS AND ABILITIES:

Superior initiative, judgment and discretion.

Excellent written and verbal communication skills.

High level of accuracy and attention to detail.

Critical thinking to plan ahead and anticipate issues.

Excellent time management and ability to work on multiple priorities under deadline pressure.

Ability to establish rapport and work successfully with a variety of personalities and individual styles in a professional and savvy manner.

Demonstrated proficiency in MS Office including Outlook, Word, and Ex

ORGANIZATIONAL RELATIONSHIPS:

Reports to: Chief Executive Officer

Supports: Board of Directors, Executive team

Peer collaboration/communicates with (internal, external): All internal departments plus communication with funding sources, vendors, and community partners.
