THIS ROLE IS REMOTE WITH OCCASIONAL ONSITE REQUIREMENTS. YOU MUST BE WITHIN A 2.5 HOUR DRIVE OF SOUTH BEND, INDIANA OR WILLING TO RELOCATE.
The IS Communications and Change Management Coordinator plays a key role in supporting the successful rollout of technology-driven change across the organization. Focused on external communications and change enablement, this role helps ensure that patients, community partners, and other key stakeholders are informed, engaged, and prepared throughout the system’s multi-year digital transformation.
This contract-to-hire position is ideal for someone with strong writing and organizational skills, a keen understanding of communication strategy, and a passion for helping people adapt to change. Prior experience working in or with a health system is highly preferred.
Key Responsibilities:
- Communication Strategy & ExecutionDevelop and implement external communication strategies that align with IS project timelines and organizational goals
- Create and manage content for websites, email campaigns, newsletters, FAQs, press releases, and social media related to IS initiatives
- Translate complex technical topics into clear, engaging content for external audiences, including patients, vendors, and community members
- Support leadership communications and talking points for public events, community forums, or executive presentations
- Change Management SupportAssist in the development and execution of change management plans to drive stakeholder awareness, understanding, and adoption of new technology systems and processes
- Conduct stakeholder impact assessments and help identify groups affected by upcoming changes
- Coordinate the development of communication toolkits, readiness guides, and training announcements to support successful adoption
- Partner with project managers, trainers, clinical leaders, and other key stakeholders to ensure aligned messaging and a smooth transition for end users
- Monitor feedback and resistance, helping to adjust communication and engagement strategies as needed
- Cross-Functional CollaborationCollaborate with internal departments such as Marketing, HR, Clinical Informatics, and Organizational Development to ensure consistent messaging and coordinated support
- Participate in project team meetings and planning sessions to stay informed and align communications with project milestones
- Serve as a key connector between technical teams and external-facing departments to ensure user-centered communication
- Measurement & Continuous ImprovementTrack communication and engagement metrics (e.g., email open rates, feedback, adoption indicators) and report insights to change leadership
- Help develop and distribute surveys or feedback tools to gather insights from impacted audiences
- Support continuous improvement by incorporating lessons learned into future change and communication planning
- Required Qualifications:Bachelor’s degree in Communications, Public Relations, Organizational Development, Healthcare Administration, or a related field
- 2–4 years of experience in communications, organizational change support, or project coordination
- Strong writing, editing, and visual storytelling skills
- Proven ability to work with cross-functional teams and manage competing priorities
- Must reside within a 2-hour driving distance and be willing to be onsite as needed
- Experience in a healthcare or health system environment
- Familiarity with change management frameworks (e.g., Prosci, ADKAR, Kotter)
- Experience using communication platforms (e.g., SharePoint, Canva, Intranet CMS, Mailchimp)
- Knowledge of project management principles or tools (e.g., Smartsheet, Asana, MS Project)
