Job Title: Operations Coordinator
Location: Onsite in Charlotte, North Carolina
Reports To: COO
Job Description:
The Operations Coordinator will play a crucial role in ensuring the smooth running of our operations,
supporting our team, and maintaining high levels of efficiency and client satisfaction. This position
requires a proactive, detail-oriented individual who thrives in a fast-paced environment.
Key Responsibilities:
1. Operations Coordination:
- Coordinate and oversee daily operational tasks to ensure efficiency and compliance with
company policies.
- Facilitate communication between departments to ensure alignment and prompt
resolution of issues.
- Assist in the development and implementation of operational policies and procedures.
- Organize and coordinate logistics for team meetings and client visits.
- Work with all internal departments to elevate efficiencies in scheduling and client
communication.
- Monitor ticket boards across all departments to ensure proper usage and client
communications are not missed.
- Serve as a backup for the procurement of equipment as needed.
- Oversee the intake and check-in of equipment into inventory.
- Manage inventory of office supplies and equipment, ensuring all resources are readily
available.
2. Project Coordination:
- Develop project plans, timelines, and budgets with the collaboration of the engineers
involved, ensuring alignment with client requirements and company goals.
- Coordinate and facilitate project planning sessions with technical teams.
- Manage project documentation, including requirements, change requests, and meeting
minutes.
- Coordinate quality assurance checks to ensure deliverables meet established standards.
- Provide regular updates and reports to clients on project progress.
- Foster positive working relationships with clients, vendors, and internal teams to
promote collaboration and project success.
- Coordinate resource allocation and task assignments, ensuring team members are clear
on their responsibilities.
- Facilitate effective communication between project stakeholders, ensuring everyone is
informed of project status and changes.
- Monitor project progress, milestones, and deliverables, proactively addressing any
deviations from the plan.
- Recommend and implement process improvements to enhance project efficiency and
effectiveness.

Network Upgrades
Firewall Deployments
Full Stack Switch replacements
Wireless Installations/Upgrades
Server Migrations and Upgrades
Windows Servers Installs/Upgrades
On-premises and cloud-based solutions
M365 and Azure Migrations:
Azure Active Directory
M365 Exchange
SharePoint and Teams
Qualifications:
Proven experience as an IT Project Coordinator or similar role in an MSP or IT environment.
Strong knowledge of project management methodologies and tools.
Excellent organizational and multitasking abilities, with a keen eye for detail.
Exceptional communication skills, both written and verbal, can effectively interact with diverse
stakeholders.
Ability to work well under pressure in a fast-paced, client-focused environment.
Key Performance Indicators (KPIs):
1. Project CSAT
2. Projects Completed as Budgeted
3. Projects Completed as Scheduled
