General Summary

This is independent work coordinating a variety of administrative tasks in support of the Office of Administration & Professional Development.

FINANCIAL DISCLOSURE: Pursuant to sections 112.3144 and 112.3145, F.S., this position is required to electronically file a Form 1 – Statement of Financial Interests with the Florida Commission on Ethics within 30 days of hire.

Examples of Work Performed

Administration

  • Answers and resolves internal and external telephone inquiries.
  • Greets and directs visitors in a friendly, professional manner.
  • Performs daily administrative and general office management duties (maintains office email account inbox, maintains office supplies, manages office mail and calendar, etc.)
  • Processes a variety of correspondence, investigates subject matter, and prepares replies.
  • Makes arrangements for meeting agendas and office systems.
  • Assists in planning trainings by securing space, equipment, and training materials.
  • Maintains financial or other administrative records and prepares status reports.
  • Acts as liaison with other House offices, legislative offices, state agencies and private vendors on administrative matters.

Research

  • Monitors the training progress of House staff through online learning management system.
  • Assists the office in creating training sessions and uploading resources.
  • Coordinates and delivers information or data to specified individuals.
  • Conducts detailed research of assigned subjects pertaining to office processes or operations.
  • Obtains, complies, interprets, and maintains statistical information or data and assists administrative & professional development staff in preparing reports as requested.
  • Performs other related duties as required.

Knowledge, Skills, And Abilities

  • Knowledge of administrative principles and practices.
  • Knowledge of Florida state government.
  • Ability to interact professionally and courteously with members of the public and elected officials.
  • Ability to work cooperatively as a team member and to contribute to the efficient internal functioning of the office staff.
  • Ability to exercise discretion and confidentiality.
  • Ability to communicate effectively verbally and in writing.
  • Ability to pay attention to detail and review work for accuracy and quality of content.
  • Ability to plan, organize, and coordinate work assignments.

Minimum Qualifications

  • A bachelor’s degree from an accredited college or university.
  • Administrative experience can substitute on a year-for-year basis for the required college education.

Preferred Qualifications

  • Proficiency with Microsoft Office.
