Chattanooga College MDTC invites applications for the position of Assistant Registrar We are searching for a team-oriented individual with excellent communication and organizational skills who likes to work in an active, fast-paced environment.
Job Summary: The Assistant Registrar plays a crucial role in maintaining and managing records, ensuring compliance with relevant regulations, and supporting administrative processes within the organization.
Responsibilities:
Student Records Management:
- Maintain accurate and confidential student records, including academic transcripts, grades, and personal information.
- Process student registration, withdrawals, and other enrollment-related activities.
- Collaborate with academic departments to ensure timely and accurate recording of grades.
Compliance:
- Stay informed about relevant laws, regulations, and policies related to record-keeping and data privacy.
- Ensure compliance with accreditation standards and institutional policies.
Data Entry and Maintenance:
- Enter and update student information in the database accurately.
- Regularly audit records to identify discrepancies and resolve issues promptly.
Reports and Analysis:
- Generate reports on student enrollment, academic performance, and other relevant data.
- Assist in analyzing data trends to support institutional decision-making.
- Registration and Scheduling:
- Assist in the planning and coordination of registration periods.
- Collaborate with academic departments to create and update course schedules.
Customer Service:
- Provide support and assistance to students, faculty, and staff regarding registration processes and academic records.
- Respond to inquiries and resolve issues related to student records.
Technology Utilization:
- Utilize and maintain the student information system or database software.
- Stay updated on technological advancements related to record-keeping and implement improvements as needed.
Collaboration:
- Collaborate with other departments, such as admissions, financial aid, and academic affairs, to ensure seamless operations.
Qualifications:
- Associate's degree in a related field (e.g., education, business administration, or information management).
- Strong organizational and attention-to-detail skills.
- Knowledge of relevant laws and regulations.
- Excellent communication and interpersonal skills.
- Proficiency in using database software and other relevant technology.
Experience:
- Previous experience in a similar administrative role is often preferred.
- Familiarity with educational systems and procedures is an asset.
