Law Office Manager / Executive Assistant

We’re a tech-driven law firm focused on cybercrime, privacy violations, and online harms. We’re seeking a Law Office Manager / Executive Assistant to help lead internal operations, build systems, oversee compliance, and manage staff during a period of rapid growth and restructuring.
This is a contractor role (~35 hrs/week) with a 90-day trial and potential for long-term hire. You’ll work directly with the firm partner, supporting legal and admin ops, scheduling, staff hiring and oversight, billing, financial, and legal compliance.
Key Responsibilities- Build and manage automated workflows in Clio (Manage, Grow, and Draft)
- Program and upload firm template documents into Clio Draft
- Track and follow-up on CLE and bar requirements for various states
- Assist with IOLTA setup, QuickBooks, ADP, insurance, and Westlaw configuration
- Monitor intake calls and missed leads; follow up and flag scheduling issues
- Manage new client onboarding such as LOE generation, payments, intake forms)
- Support offboarding tasks like closing out cases, or issuing final bills
- Write SOPs, process manuals, and training docs for internal use
- Manage partner’s calendar, meetings, and appointments
- Turn vocal or disorganized instructions into structured task lists and deadlines
- Track payments, events, and follow-ups in Clio and Google
- Assist with presentations for panels, CLEs, and firm-facing projects
- Seek, Interview, onboard, and manage interns, and firm staff
- Assign and track weekly and daily tasks, run check-ins, and monitor staff output
- Oversee delegated content to ensure accuracy, completion, and compliance
- Assist with WordPress/Wix updates and uploads
- Assist with scheduling and organizing PR, and firm announcements
- Organize firm notes, tasks, assignments, templates, and documents
- Monitor deadlines and requirements for insurance, filings, and licensing renewals
- Act as a temporary CFO-style lead for internal financial ops and compliance
- Coordinate with tax professionals on firm filings and financial documentation
- Oversee billing in Clio: send invoices, apply payments, restructure entries, and ensure IOLTA transfers are made properly and on time
- Monitor unpaid intake calls, cancel/reschedule as needed, and flag payment status
- Use QuickBooks and ADP to process payroll, financial tracking, and payments
- Manage W2/1099 tracking, documentation, and filing
- Research and assist in implementing future benefits and insurance programs
- Set payment reminders and ensure financial and tax deadlines are met
- Assist in seeking co-counsel or referral firms for certain cases, and crafting related documents and agreements for fee-splitting
- 1–3+ years in legal operations, legal EA, or law firm admin roles
- Proficient in Clio Manage, Grow, and Draft
- Knowledge of QuickBooks, and ADP
- Experience tracking CLEs and managing bar compliance
- Familiarity with IOLTA setup and insurance coordination
- Experienced in writing SOPs, onboarding guides, and internal systems
- Ability to manage job postings, interviews, and hiring
- Highly organized, autonomous, and able to work from disorganized inputs
- U.S.-based and authorized to work as a contractor
Bonus:
- Prior experience as a CFO, finance lead, or operations manager

- Experience with YAMM and PR work
