We are seeking an experienced Executive Assistant for a mission-driven non-profit organization based in Sacramento. The qualified candidate will have C-suite executive administrative experience, managed meetings for Board of Directors, bilingual (any language), advanced written communications and diverse technical skills. This direct hire opportunity offers generous benefits and a hybrid schedule.

SALARY RANGE: $70,000 to $75,000 DOE. Including 401k Match. Health, dental, vision, basic life insurance, short-term and long-term disability insurance, vacation, sick leave and paid holidays

PRIMARY RESPONSIBILITIES:

  • Support the Executive team by arranging urgent tasks while working with minimal supervision.
  • Organize and manage all logistics for executive leadership, Board of Directors and committee meetings.
  • Draft, transcribe, format, proofread, and edit documents using commonly used software tools such as MS Office Suite, Teams, and PDF editors.
  • Manage all travel arrangements for the CEO.
  • Create, format, convert, and troubleshoot documents in compliance with accessibility standards.
  • Support meetings, including organizing accommodations, taking minutes, hosting, travel logistics, including transportation coordination, vendor follow-up and preparing materials.
  • Occasional travel for meetings; evening and weekend availability required as well as be the logistical point for contact for executive-related travel
  • Maintain reports such as metrics, rosters, demographics, and attendance records.
  • Communicate effectively to handle complex or sensitive situations with professionalism.
  • Provide general project support and perform additional duties as assigned.

SKILLS & QUALIFICATIONS:

  • Bachelor’s degree in a related field.
  • A minimum of five years providing executive level support for C-suite level executives and Board of Directors.
  • Proven experience setting up and managing virtual meeting platforms.
  • Strong proofreading skills with keen attention to detail.
  • Excellent communication skills, with the ability to manage difficult calls and situations with patience, professionalism, and tact.
  • Demonstrated ability to work independently while performing detailed administrative tasks accurately and efficiently.
  • Skilled in problem-solving complex and evolving situations, maintaining composure under pressure, team player and adapting effectively to change.
  • Proactive and resourceful in handling responsibilities, with a strong ability to prioritize and anticipate team needs.
