Position Title: Document Control Coordinator

Location: Hayden Industrial, 5199 N. Mingo Rd., Tulsa, Oklahoma 74117

Department: Quality Assurance

Reports To: Quality Manager

Job Summary: The Document Control Coordinator is responsible for managing, maintaining, and controlling ASME-related documentation at Hayden Industrial's Tulsa facility. This role ensures that all documentation complies with ASME standards, internal procedures, and customer requirements. The position is critical to supporting audits, inspections, and the manufacturing process.

Key Responsibilities:

• Create, maintain and control all ASME code documents including specifications, drawings, procedures, U1 Data reports, and certifications.

• Ensure proper identification, filing, distribution, and retention of documents in accordance with ASME Section VIII and company quality standards.

• Review and verify documentation for accuracy, completeness, and compliance with ASME and customer-specific requirements.

• Make Name plates, Item tags and ASME Code Name plates

• Coordinate document review and approval processes with engineering, manufacturing, and quality departments.

• Maintain current and historical files of approved documents and revisions.

• Support internal and external audits by providing documentation and records as required.

• Issue and track ASME Code Data Reports and other required quality records.

• Train staff on document control procedures and updates.

• Monitor document control performance metrics and implement improvement initiatives.

• Ensure document templates and forms are current and in compliance.

Qualifications:

• High School Diploma or GED required; Associate’s Degree or equivalent experience preferred.

• Minimum of 3 years experience in a document control or quality assurance role within a manufacturing environment.

• Working knowledge of ASME Section VIII and document control best practices.

• Experience with quality management systems and documentation software.

• Strong organizational and attention-to-detail skills.

• Proficient in Microsoft Office (Word, Excel, Outlook) and document management software.

• Ability to work independently and collaboratively with cross-functional teams.

Preferred Skills:

• Knowledge of ISO 9001:2015 quality systems.

• Experience working with pressure vessels or related equipment.

• Familiarity with ERP systems and electronic file management.

Working Conditions:

• Office environment with frequent interaction with manufacturing floor.

• Occasional lifting of files and documentation materials.

• May require extended hours during audit or project deadlines.
