Position Summary:
This role is ideal for someone with strong communication skills, a high level of organization, and a passion for helping patients navigate the healthcare system. You’ll be the first point of contact for prospective and returning patients via phone and digital platforms, playing a key role in growing our practice and ensuring an excellent first impression.
Key Responsibilities:
- Answer and manage incoming phone calls with professionalism and empathy
- Respond to online inquiries via email, website forms, and messaging platforms
- Schedule, reschedule, and confirm appointments for new and returning patients
- Explain practice services, provider availability, and general appointment guidelines
- Follow up with prospective patients who express interest in scheduling
- Collect and verify insurance information, including understanding of in-network vs. out-of-network benefits
- Communicate insurance coverage basics to patients and flag any concerns for billing staff
- Maintain accurate and up-to-date patient records in the scheduling system and EHR
- Collaborate with the front desk and clinical staff to ensure seamless handoffs and communication
- Minimum 3 years of experience in a medical office setting
- Strong knowledge of health insurance verification, including in-network and out-of-network coverage
- Excellent communication and customer service skills
- Proficient in scheduling systems and EHR platforms (experience with NexGen is a plus)
- Highly organized and capable of multitasking in a busy environment
- Familiarity with HIPAA regulations and patient confidentiality
- Bilingual (Spanish, etc.) is a plus but not required
- Looking for a long-term opportunity—not seeking short-term applicants or job hoppers
- Base salary: $55,000/year
- Performance-based bonuses: Up to $12,000 annually ($1,000/month)
- Bonuses are tied to defined performance metrics including appointment growth and patient satisfaction
- PTO, paid holidays, and additional benefits available after introductory period
