Position title : Program Operations Associate (PA)

Location: This position is based in the United States and must be willing to work East Coast hours. This position will report to the Senior Program Operations Officer.

Practice/Department: Global Program Operations/Linked Immunisation Action Network

The Program Operations function at R4D is focused on ensuring continuity, compliance, efficiency, and effectiveness across all stages of the award lifecycle. Program Operations supports high quality design, new business capture, start-up, implementation, and closeout of individual programs in furtherance of R4D mission and strategy through effective deployment of financial and human resources as well as robust, standardized strategic/logistical/operational support. Program Operations also supports strong, consistent, efficient, and effective organizational systems and processes that enable high-quality project implementation and portfolio management.

The Linked Immunisation Action Network Brings Together Immunisation Practitioners, Policymakers, And Partners From Middle-income Countries To Identify Common Immunisation Programme Challenges And The Transformative Solutions That Will Lead To Greater Resilience, Equity, And Sustainability. Through Collaborative Peer-to-peer Learning, The Network Engages Member Countries To

  • Understand top immunisation programme challenges, including barriers and threats to maintaining high and equitable immunisation coverage and sustainably introducing new vaccines
  • Facilitate peer-to-peer knowledge sharing to elevate tested solutions and best practices for strengthening immunisation programming
  • Support the implementation of solutions and best practices—working with and through local partners—to address immunisation programme challenges
  • Strengthen skills and capacities within immunisation programmes
  • Capture and disseminate implementation experiences to ensure learning is shared and sustainable

The network employs cross-country, peer-to-peer learning to complement technical assistance, research, and other support from partners. Collaborative learning among peers:

  • Creates space to analyze root causes of implementation challenges
  • Generates practical solutions and best practices that can be shared and applied
  • Increases ownership of implemented solutions and best practices
  • Facilitates opportunities for partners to be responsive to country priorities

Funded by Gavi, the Linked Immunisation Action Network represents an integral component of Gavi’s strategic approach to engaging with middle-income countries with the goal of preventing reductions in vaccine coverage and driving the sustainable introduction of key missing vaccines.

Position Summary & Responsibilities: The Program Operations Associate will support the Linked Immunisation Action Network working with colleagues across R4D’s Global Program Operations team and the technical project team to provide foundational operational and network support. Responsibilities of the PA will encompass administrative, project management, research, and communication tasks. Key responsibilities include, but are not limited to:

Operations Support (70%)

  • Participates fully as a member of R4D by contributing, assisting and participating in projects, activities, and initiatives as requested by R4D management
  • Organize meetings and events, some of which may take place outside of the US, including arranging for the meeting venue, video and audio equipment, and interpretation services as needed
  • Support travel planning including flight bookings, accommodation arrangements, and account reconciliations for team members, consultants, and sponsored travelers
  • Facilitate development and execution of consultant, vendor, and subaward contracts
  • Process consultant and subaward invoices
  • Support the tracking of project budgets and expenditures
  • Prepare relevant project management reports
  • Contribute to the development of administrative policies and procedures to ensure efficient and effective project implementation
  • Support business development efforts in collaboration with proposal team members to mobilize resources to finance new opportunities
  • Support project teams to manage human resources, financial resources, and foster operational excellence more broadly
  • Provide support to solve operational challenges as they arise
  • Other duties, as necessary

Network-wide / Technical Support (30%)

  • Monitor project workplans and deliverable deadlines
  • Produce and/or edit a variety of documents including briefing materials, meeting notes, presentation slides and reports for both internal and external audiences
  • Serve as project focal point for the Linked Steering Committee
  • Support project monitoring, learning, and evaluation activities, including data collection and analysis
  • Generalized support to technical activities, as necessary

Qualifications

Minimum

  • 1-2 years of experience in administrative or program support roles or equivalent combination of education and experience
  • Bachelor’s degree in a relevant field
  • High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • High level of organization, attention to detail, professionalism, and reliability
  • Ability to prioritize and manage work in a fast-paced environment and within tight deadlines
  • Excellent oral and verbal communication skills, including demonstrated ability to write clear and concise emails, meeting summaries, and project reports
  • Ability to work both independently and as part of a collaborative team
  • Enthusiasm, energy, and good judgement
  • Fluency in oral and written English

Preferred

  • Experience working in a non-profit or international development environment
  • Familiarity with project management tools and processes
  • Experience in routine administrative and project management functions
  • Experience reviewing and developing budgets
  • Ability to coordinate and synthesize inputs and requests from multiple stakeholders
  • Additional language skills a plus

$49,000 – $55,000 a year

The target base salary pay range for this US-based position is $49,000 – $55,000 per year. R4D aims to provide an equitable and consistent starting salary for all new hires based on the responsibilities and qualifications required for the position. The full salary range allows for future career and earnings growth, and hiring above the mid-point of a salary range would not be typical for a new employee.
