Our rapid growth has created a need for a Payroll Administrator to manage all payroll processes of the organization. We are seeking an efficient Payroll Administrator to be responsible for managing and overseeing all payroll processes for employees across multiple states in the US and Canada. Additionally, this role will involve managing the vendor responsible for running payroll in Mexico. This position requires extensive experience with payroll regulations in the US, a strong understanding in Canada, exceptional organizational skills, and strong proficiency in managing payroll using UKG (Ultimate Kronos Group) software is a requirement.
Key Responsibilities
Payroll Processing: Accurately process payroll for employees in the US and Canada, ensuring compliance with local regulations.
Multi-State Payroll Management: Handle payroll for employees in multiple states, including New York and California, ensuring compliance with state-specific regulations.
Vendor Management: Oversee and manage the vendor responsible for running payroll in Mexico, ensuring seamless payroll operations.
Pre & Post-Payroll Activities: Support all pre- and post-payroll activities, including data entry, time and attendance verification, and audit support.
Quarterly Filings: Review and reconcile quarterly and annual filings including 941s, W-2s, etc.
Year-End Processing: Manage year-end payroll activities, including tax reporting, calendar development, and compliance reviews.
State Disability and Tax Setup: Manage state disability insurance and tax setup for employees, ensuring compliance with state-specific requirements.
Benefits deductions and contributions: Ensure accurate and timely Employee/Employer deductions and contributions of 401k, HSA & FSA, etc., ensuring compliance with IRS regulations regarding contributions and limits.
Leave Disability Pay: Process leave disability pay to employees on a leave of absence. Ensure compliance with Federal Law, State Law or One Inc Leave Policy. Coordinate with LOA Administrator or external LOA vendor disability or State paid programs and payments.
Worker's Compensation: Process workers' compensation claims, ensuring accurate and timely payments to employees who are injured or become ill due to work-related incidents. Work closely with HRG's, the workers' compensation administrator, medical staff, and local attorneys to manage claims and ensure proper documentation. Work with training to educate employees about workers' compensation procedures and policies.
Wage And Hour
Time Tracking: Accurately track and record hours worked by hourly employees using timekeeping systems.
Overtime Calculation: Calculate overtime pay in accordance with federal and state labor laws.
Minimum Wage & Exempt Salary Threshold Compliance: Ensure compliance with minimum wage requirements in all applicable jurisdictions.
Compliance: Stay updated on payroll laws and regulations in the US, Canada, and Mexico, ensuring all payroll activities, including but not limited to, LOA, Worker's Comp, Wage comply with legal requirements.
Reporting: Generate and distribute payroll reports to Finance, Accounting and HR management, providing insights and analysis on payroll data.
Issue Resolution: Address and resolve payroll and Time-related issues and discrepancies in a timely manner.
System Management: Maintain and update payroll systems, ensuring data integrity and security.
Collaboration: Work closely with HR, Finance, and other departments to ensure seamless payroll operations.
Documentation: Prepare and maintain payroll documentation, including employee records and tax filings.
Continuous Improvement: Proactively identify and implement process improvements, stay up to date on payroll best practices,

Education: Associates or bachelor's degree in accounting, Finance, Business Administration, or related field.
Experience: Minimum of 5 years of experience in payroll administration, with a focus on US and Canada payroll.
