Job Summary

We are seeking a professional, personable, and highly organized Receptionist to serve as the welcoming face and voice of our company. This role is integral to creating a positive first impression while providing essential administrative support across various operational tasks. The ideal candidate will thrive in a fast-paced environment, demonstrate exceptional communication skills, be proactive, and excel at multitasking while taking pride in delivering exceptional service through fundamental reception duties including answering phones.

Responsibilities

Essential Duties and Responsibilities Front Desk & Guest Services

  • Warmly greet and assist a high volume of daily visitors, ensuring a positive and professional first impression
  • Handle all incoming calls with courtesy and efficiency, directing inquiries to appropriate departments or team members
  • Maintain and update internal telephone directories and contact lists
  • Ensure the reception area, lobby, and other shared spaces are tidy, organized, and welcoming at all times
  • Manage visitor check-ins, issue badges, and ensure office security protocols are followed

Administrative Support

  • Manage incoming and outgoing correspondence, including sorting and distributing mail, handling shipments, and coordinating interoffice deliveries to remote locations
  • Maintain and oversee conference room calendars; prepare meeting spaces for internal and external gatherings
  • Coordinate and schedule meetings, including reserving conference rooms and preparing meeting materials
  • Maintain filing systems, both physical and digital, to support general office operations
  • Provide general administrative support and perform other related duties as assigned

Travel & Event Coordination

  • Arrange complex travel itineraries, including flights, accommodations, and ground transportation, while accommodating individual travel preferences
  • Assist with the planning and coordination of corporate events, liaising with venues, vendors, and stakeholders to ensure seamless execution
  • Track RSVPs and help prepare materials for meetings and events

Office Operations

  • Monitor and manage office supply inventory across multiple company locations to ensure adequate stock levels
  • Submit and follow up on maintenance and facilities service requests
  • Assist with light vendor coordination and communication for recurring office services
  • Support internal communication by updating bulletin boards, internal workspace and digital displays as needed

Financial Support

  • Prepare and submit corporate and project-based expense reports accurately and on schedule
  • Assist with tracking receipts for team or project needs
  • Help maintain accurate records of transactions related to front office and travel expenses
  • Provide basic accounting support as needed

Qualifications

Qualifications Education & Experience

  • High school diploma or equivalent required
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Minimum of 1-3 years of experience in customer-facing, receptionist, or administrative support role
  • Strong organizational and time management skills
  • Excellent written and verbal communication abilities
  • Demonstrated experience handling confidential information with discretion
  • Proven track record of managing multiple priorities in a fast-paced environment
