Join our friendly and hard-working Timewise family!Job Summary: Texas Petroleum Group is seeking an exceptionally bright and self-motivated Executive Assistant who will play a pivotal role in providing high-level administrative support to the CEO and leadership team. This position requires superior organizational skills, attention to detail, discretion, and the ability to handle a wide range of responsibilities with professionalism and efficiency. Duties/Responsibilities: Provides high-level administrative support and assistance to the CEO and other senior leadership team members. Efficiently manage the CEO’s schedule, and coordinate appointments, meetings, and travel arrangements, ensuring optimal use of time and prioritization of tasks. Performs clerical and administrative tasks including drafting letters, emails, memos, invoices, reports, and other documents and sending on behalf of the CEO and/or other members of the leadership team.Completes the CEO’s monthly expense report ensuring all expenses are documented and coded correctly.Schedules and attends meetings, prepares agendas, takes detailed notes, and records minutes. Follow up on action items and deadlines to ensure timely completion. Arranges domestic and international travel arrangements, including flights, accommodations, and ground transportation as needed.Receives incoming communication or memos on behalf of the CEO, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff. Arranges and assist with special projects including events and initiatives, as directed.Performs office management tasks including ordering supplies, coordinating cleaning service, ordering furniture, and other office tasks, as needed.Performs additional duties as assigned by the CEO and/or leadership team.

Excellent organizational skills and attention to detail.Excellent time management skills with a proven ability to meet deadlines.Operated with a high level of confidentiality and discretion.Ability to function well in a high-paced environment.Extensive knowledge of office administration, and clerical procedures.Extremely proficient with Microsoft Office Suites with the ability to learn new or updated software.
